Overview
The Executive Assistant provides administrative support to the Executive team which includes the President /CEO, Chief Strategy Officer/Senior Vice President, and Chief Marketing Officer. The EA provides a full spectrum of comprehensive day-to-day administrative support and various high-priority tasks and plays a crucial role in optimizing the time and productivity of the Executive team. This position also serves as the main support and liaison for the Destination Augusta Board of Directors.
Core Responsibilities
Administrative Support
  • Provide high-level administrative support across Executive team by anticipating needs, ensuring seamless daily operations, and keeping team informed of upcoming commitments, responsibilities, and deadlines.
  • Coordination and management of schedules and calendars prioritizing alignment with strategic goals of the organization including meetings, day-to-day engagements, appointments, and scheduling conflicts.
  • Maintain digital filing systems and databases, ensuring information is complete and up to date.
  • Assist in project and initiatives, providing research, coordination, and support as needed to ensure alignment across teams on goals, plans, and organizational priorities.
  • Other duties as designated

Logistics
  • Schedule and coordinate meeting logistics including preparation, agenda creation and distribution, set-up/clean-up, and follow-up as necessary.
  • Coordinate and manage travel schedules and reservations, accommodations, and itineraries for Executive team and Board members as necessary.
  • Ensure Executive team has all necessary materials for internal and external meetings, speaking engagements, and travel.
  • Other duties as assigned.

Operational and Clerical Support
  • Prepare professional correspondence, emails, reports and presentations with accuracy and attention to detail.
  • Process expense documentation in timely manner for Executive team.
  • Provide in meeting support, minute taking, and action item follow-up across Executive team.
  • Other duties as assigned.

Board of Directors Liaison
  • Elevate Board engagement by turning meeting experiences into standout moments by serving as Board liaison.
  • Schedule and organize Board and Executive Committee meetings, prepare agendas and presentations, and ensure timely distribution of materials.
  • Maintain accurate Board records, including term documents, contact information, and digital file organization.
  • Facilitate meetings by keeping minutes and coordinating with internal team to create a welcoming and productive environment for Board events.
  • Foster connection and develop creative ideas to enhance Board member engagement with the organization and with each other outside of formal meetings.
  • Preparation for Board Meetings, Executive Committee as well as various Committee meetings.

Knowledge, Skills, and Abilities
  • Exceptional written and verbal communication skills.
  • Highly organized and detail-oriented with strong time management and critical thinking skills.
  • Ability to act independently, maintain confidentiality, and highly capable of prioritizing multiple objectives and responsibilities simultaneously.
  • Ability to create precise, detailed, and eye catching presentations and slide decks while adhering to company branding standards.

Professional and Education Requirements
  • 5+ years of Executive Assistant experience.
  • 7+ years of administrative support experience
  • Advanced experience with Microsoft Office Suite, Outlook, and SharePoint.
  • Valid driver's license

Work Settings and Physical Requirements
  • In-office work environment, Monday-Friday during standard business hours.
  • May require physical activity, including lifting up to 50 pounds.
  • In-town driving and occasional travel.
