Implant Inventory / Procurement Coordinator

Our client, a Medical Center facility under the aegis of a California Public Ivy university and one of largest health delivery systems in California, seeks accomplished Implant Inventory / Procurement Coordinator.

Candidate must be authorized to work in USA without requiring sponsorship

Duration: 13 weeks contract w/ possibility of extension

Notes:

  • Work location is (San Francisco, CA 94117) but training will take place at (San Francisco, CA 94143).
  • Schedule: Monday–Friday, 07:00 AM – 03:30 PM.

Description:

  • The team is responsible for coordinating, ordering, and tracking all owned and consigned implants (tissue and non-tissue) required for surgery.
  • The Implant Coordinator establishes and maintains acceptable inventory levels of owned and consigned implants and arranges for loaner implants and instruments based on patient care requirements.
  • They follow departmental inventory management practices to meet surgical patient needs, including securing and replenishing inventory through PMM inventory manager, ensuring accurate patient billing, and providing on-call coverage with other Implant Coordinators.
  • The role requires working closely with clinical service coordinators to review surgical schedules, anticipate implant and instrument needs, manage receipt and documentation of loaned items, and ensure accurate vendor billing.
  • Coordinators must comply with company policy for new product introduction, using Rapid Cycle approval when necessary.
  • This position collaborates with Patient Care Managers, Clinical Service Coordinators, and operates under the direction of the Implant Manager.
  • All team members are responsible for meeting patient needs, learning new skills, and fostering a harmonious work environment.
  • Professional conduct includes promoting teamwork, effective communication, cultural sensitivity, and professional feedback exchange.
  • Independently manages the full range of responsibilities.
  • Manages complex procurement assignments requiring review of operating room schedules and surgeon requests.
  • Authorized to make purchase requisitions within a defined dollar limit.
  • Exercises judgment in determining the best acquisition method for implants and tissue.
  • Works independently with little instruction, except for highly complex requisitions.
  • Uses sound judgment in selecting solutions and adhering to organizational policies.
  • Coordinate implant acquisition and disposition using approved Materiel Services and Operating Room practices.
  • Review surgical schedules in advance to identify future implant needs.
  • Collaborate with Clinical Service Coordinators and vendors to secure required implants.
  • Manage procurement, receiving, storage, distribution, sterilization, and documentation in collaboration with vendors and SPD.
  • Develop and maintain appropriate inventory through cycle counts, issue reconciliation, returns, and exception reviews.
  • Ensure accurate patient charging through review and exception noting.
  • Consult regularly with vendor representatives and OR POD managers.
  • Support Materiel Services and OR Management in product recall programs.
  • Acquire and maintain a technical understanding of commonly purchased products.
  • Follow policies, procedures, and internal controls for all surgical implant materials (owned, loaned, consigned).

Qualifications:

  • Minimum 3+ years in materials management, operating room, purchasing, or accounting.
  • Possesses broad job knowledge and problem-solving ability across diverse issues.
  • Experienced professional applying theory and practice with deep understanding of the field.
  • Demonstrates understanding of Joint Commission requirements in tissue procurement and documentation.
