The Sales Operations Specialist serves as the backbone of our sales process. In this role, you will bridge the gap between Sales, Finance, and Supply Chain, ensuring that every order—from initial entry to final collection—is handled with precision. You will be responsible for maintaining the integrity of our customer data and providing the operational support necessary for our sales team to hit their targets. 

This is a hybrid position and the selected candidate is expected to work in the Scottsdale offer 4x week (Monday - Thursday). 

Responsibilities:

Order & Inventory Lifecycle Management

  • Order Execution: Execute accurate and timely order entry into the ERP system.
  • End-to-End Oversight: Manage the full order lifecycle, including reviewing rewards programs, obtaining freight quotes, and providing real-time status and tracking updates to stakeholders.
  • Inventory Control: Monitor inventory levels and proactively manage Out-of-Stock (OOS) scenarios to minimize disruption to the customer experience.

Financial Operations & Compliance

  • Credit & Collections: Take ownership of account collections and credit card maintenance. Resolve invoice disputes and process necessary Debit/Credit Memos (DM/CM) and invoice corrections.
  • Returns & Buy-Backs: Lead the processing of customer returns and corporate buy-back programs, ensuring all financial and physical reconciliations are accurate.

Account & Data Integrity

  • Onboarding: Facilitate the setup of new accounts by reviewing paperwork and coordinating with Master Data Management (MDM) and Accounting departments.
  • Data Governance: Enter and maintain high-quality customer master data to ensure reporting accuracy across the organization.

Sales & Program Support

  • Go-to-Market Support: Provide operational backbone for product launches and sales promotions.
  • Specialized Support: Manage education registrations and troubleshoot Marketing/Education coupon issues to ensure seamless promotional execution.

Required Qualifications: 

  • Education: High school degree or equivalent
  • Experience: 2+ years in Sales Operations, Order to Invoice (O2I) Management, or a related administrative/accounting role.
  • Systems Proficiency: Experience with ERP systems (e.g., SAP, Oracle, NetSuite) and CRM software (e.g., Salesforce).
  • Detail Management: Exceptional accuracy in data entry and a "detective" mindset for resolving invoice disputes and inventory discrepancies.

Preferred Qualifications:

  • Communication: Ability to collaborate effectively across departments (Finance, Logistics, Sales).
  • Problem Solving: Strong ability to troubleshoot technical issues, such as coupon glitches or freight complications, under tight deadlines.


Compensation and Benefits
Salary Range $52,800.00 - $72,000.00 USD
Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.
Benefits: Salaried employees enjoy a comprehensive benefits package, including medical, dental, vision, basic life insurance, paid parental leave, disability coverage, and participation in the 401(k) retirement plan with company matching contributions subject to eligibility requirements. Additional benefits include a minimum of 15 vacation/PTO days (hourly employees receive a minimum of 120 hours) and 13 paid holidays (vacation days are prorated based on the employee's hire date within the calendar year). Paid sick leave is adjusted based on role and location in accordance with local laws. Detailed information regarding paid sick leave entitlements will be provided to employees upon hiring and may be subject to adjustments based on changes in legislation or company policies.
