About the Role

As a Medical Equipment Planning Project Manager at HFG Architecture, a leading healthcare architecture firm, you will lead the medical equipment planning and coordination process across healthcare projects from conception to completion. You will collaborate with clinical stakeholders, multidisciplinary design teams, vendors, and clients to ensure that medical equipment is properly identified, budgeted, specified, procured, and integrated into each facility. Your expertise in medical equipment planning, healthcare design, and client relations will contribute to the timely delivery of high-quality, fully equipped healthcare environments.


Key Responsibilities & Duties:

Project Management:

  • Oversee all phases of the medical equipment planning process—from programming and schematic design through procurement, installation, and activation.
  • Define equipment scope, schedules, deliverables, and resource plans; monitor and adjust to maintain profitability and quality.
  • Manage multiple projects simultaneously while balancing competing priorities and deadlines.
  • Develop and maintain detailed equipment lists, inventories, and databases, categorized by procurement responsibility (owner- or contractor-furnished, existing/relocated, and new).
  • Develop and manage equipment budgets with internal teams and clients, identifying and addressing concerns early.

Client Relationship Management:

  • Serve as the primary client contact for equipment matters, building strong, long-term relationships.
  • Facilitate clinical user group and stakeholder meetings to determine equipment needs and validate selections.
  • Represent the firm in project presentations, community engagement, and client meetings.

Team Leadership & Collaboration:

  • Lead and coordinate multidisciplinary teams, fostering collaboration, accountability, and design excellence.
  • Support and mentor team members and junior planners as applicable.
  • Coordinate with project teams and firm principals to ensure alignment and successful delivery.

Equipment Planning & Coordination:

  • Translate clinical workflows and user requirements into equipment selections and space planning decisions.
  • Coordinate equipment requirements—electrical, plumbing, HVAC, medical gas, structural support, data, and shielding—with architectural and engineering teams.
  • Develop equipment specifications, cut sheets, and procurement documentation.
  • Review drawings and rough-in documents to confirm integration and resolve conflicts.

Procurement, Installation & Activation:

  • Coordinate with vendors and manufacturers on specifications, rough-in requirements, lead times, and delivery.
  • Support procurement and bid processes for medical equipment.
  • Oversee equipment delivery, installation, testing, and activation, including submittals, RFIs, and site visits.
  • Assist with transition planning and move management as needed.

Regulatory Compliance & Quality Assurance:

  • Maintain working knowledge of relevant healthcare codes and standards (e.g., FGI, ADA, IBC, NFPA, Joint Commission).
  • Conduct regular quality control reviews and implement corrective actions as needed.

Travel Requirements:

This role requires approximately 10-20% travel for project-related needs, including site visits, client meetings, and occasional industry events.


Qualifications:

  • Bachelor's or Master's degree in Architecture, Interior Design, Healthcare Administration, Nursing, Biomedical Engineering, or a related field.
  • Experience in medical equipment planning, healthcare project management, or a related healthcare, architectural, or construction environment. We welcome applicants across a range of experience levels and will match the role to the right candidate.

  • Knowledge of medical equipment, clinical workflows, and healthcare facility design and operations.
  • Strong knowledge of healthcare design codes and regulations (e.g., FGI Guidelines, ADA, IBC).
  • Experience with medical equipment planning software (e.g., Attainia) preferred; proficiency in Microsoft Office required. Familiarity with Revit and AutoCAD beneficial.
  • Excellent verbal and written communication skills.
  • Strong leadership, team-building, and problem-solving abilities.
