Operations Coordinator (Field Service / Electrical) — Help Us Build ArcPoint

ArcPoint Electric Solutions is growing fast, and we’re looking for an Operations Coordinator who wants to come in, work hard, and help build a company the right way—organized, safety-first, and execution-obsessed. This role is perfect for someone who thrives in a hands-on environment, loves keeping moving parts aligned, and takes pride in clean documentation and proactive communication.

What You’ll Do (Day-to-Day)

You’ll be the operational hub between the field team, customers, and leadership—making sure service calls and projects run smoothly from kickoff to closeout.

  • Review active jobs, schedules, shutdown windows, and crew assignments daily
  • Monitor service tickets to ensure accurate, on-time completion
  • Track materials: orders, backorders, deliveries, pickups, and jobsite readiness
  • Check in with foremen/lead technicians on safety, progress, blockers, and needs
  • Update tracking logs (labor hours, milestones, delays, escalations)
  • Communicate schedule shifts and risks to customers before they become problems

Weekly Responsibilities

You’ll help keep projects predictable and audit-ready by staying ahead of the details.

  • Review project schedules, labor burn, material spend, and upcoming milestones
  • Identify long-lead materials and upcoming shutdown/inspection requirements
  • Confirm access requirements with building management and other trades
  • Spot-check documentation quality (photos, forms, equipment IDs, testing records)
  • Help maintain material stock and field/van organization standards

New Work Walkthroughs + Estimating Support

You’ll support the front end of new opportunities so scopes and pricing are accurate.

  • Join site walkthroughs to confirm scope, constraints, risks, and access requirements
  • Capture photos, equipment data, shutdown needs, permits, and PPE requirements
  • Help build clear scope write-ups (assumptions/exclusions)
  • Support estimating: labor, material, equipment, and schedule inputs
  • Coordinate proposal handoff to leadership/sales

Materials, Logistics, and Job Readiness

You’ll help ensure crews have what they need—when they need it.

  • Create/verify bills of materials (BOMs) and confirm lead times/alternates
  • Ensure purchase orders have correct delivery details and required dates
  • Coordinate receiving, loading dock requirements, and jobsite storage
  • Track backorders and escalate risks proactively

Project Startups, Execution Support, and Closeout

You’ll help projects start clean, stay on track, and close with complete reporting.

  • Attend Day 1 startups and key milestones (shutdowns, escalations, critical work)
  • Confirm tools, materials, permits, contacts, documentation systems, and naming conventions
  • Support safety planning (PPE, LOTO coordination, hazard controls)
  • Help resolve scope questions and document changes
  • Ensure closeout packages are complete, organized, and audit-ready

Documentation Standards You’ll Own

ArcPoint’s reputation depends on clean, professional reporting.

  • Verify job names, locations, contacts, and equipment IDs are correct
  • Ensure required forms/checklists are included
  • Confirm field photos show conditions, nameplates, findings, and corrective actions
  • Require clear field notes (dates, anomalies, recommendations)
  • Ensure service ticket closeout documentation is complete
