Job Description

The MAC (Moves, Adds & Changes) Coordinator is responsible for coordinating and executing workplace moves, furniture changes, and related facility activities to support an efficient, safe, and well-maintained office environment. This position serves as a key point of contact for employee and business-unit move requests and provides hands-on and administrative support for furniture management, furniture repair, space changes, and move projects.

The MAC Coordinator will work closely with Facilities, Workplace, Space Planning, building management, movers, furniture vendors, contractors, and internal business partners to ensure moves and workplace changes are completed safely, efficiently, on schedule, and with minimal disruption to business operations.

What you will do:

Moves, Adds & Changes (MAC)

  • Coordinate and execute employee and departmental moves, adds, and workspace changes.
  • Manage MAC requests from initial intake through scheduling, execution, and completion.
  • Coordinate individual moves, group moves, restacks, relocations, and larger move projects.
  • Conduct pre-move site walks to identify requirements, constraints, furniture needs, and potential issues.
  • Develop move plans, schedules, sequencing, and logistics in coordination with internal stakeholders and service providers.
  • Coordinate with IT, security, facilities, movers, furniture installers, and other support teams as required.
  • Verify workstations and offices are move-ready prior to employee occupancy.

Furniture Management

  • Manage day-to-day furniture requirements for workstations, offices, conference rooms, collaborative areas, and other workplace spaces.
  • Maintain awareness of existing furniture inventory, including furniture available for reuse.
  • Coordinate furniture delivery, installation, relocation, reconfiguration, storage, and removal.
  • Identify opportunities to reuse existing furniture before requesting or purchasing new furniture.
  • Maintain organized furniture storage areas and assist with periodic inventory audits.
  • Track furniture assets, locations, condition, and disposition as required.

Furniture Repair & Maintenance

  • Inspect furniture and identify damaged, worn, or non-functioning components.
  • Perform or coordinate minor furniture repairs and adjustments where appropriate.
  • Coordinate furniture warranty claims and repairs with manufacturers and vendors.
  • Source replacement parts and coordinate repairs for items such as chairs, desks, tables, cabinets, workstations, and adjustable-height furniture.
  • Determine when furniture should be repaired, replaced, reused, or removed from service.

Move Management

  • Serve as the primary operational coordinator for assigned move projects.
  • Develop move schedules, employee move lists, sequencing plans, and move-day logistics.
  • Coordinate movers, installers, furniture vendors, and other service providers.
  • Confirm furniture, equipment, signage, technology, and other workplace requirements prior to moves.
  • Communicate move instructions, schedules, and expectations to affected teams and stakeholders.
  • Provide on-site coordination during move activities, including after-hours or weekend moves when required.
  • Monitor vendor performance and ensure work is completed according to scope, schedule, safety requirements, and quality expectations.

Vendor & Work Order Management

  • Submit, monitor, and close work orders associated with MAC, furniture, and move activities.
  • Coordinate third-party movers, furniture installers, repair technicians, and other vendors.
  • Obtain estimates and assist with reviewing scopes of work and pricing.
  • Verify vendor work has been satisfactorily completed before work orders are closed.

Workplace & Facilities Support

  • Conduct routine workplace walkthroughs and identify furniture, space, or facility issues requiring attention.
  • Assist with workstation adjustments, ergonomic furniture requests, and workplace modifications in coordination with appropriate teams.
  • Support conference room, common-area, and shared-space furniture changes.
  • Assist Facilities and Workplace teams with special projects and operational initiatives.
Qualifications
  • High school diploma or equivalent required; associate degree, technical training, or related facilities/workplace experience preferred.
  • 3+ years of experience in facilities, workplace services, furniture management, move coordination, space planning, construction, or a related field preferred.
  • Experience coordinating office moves, furniture installations, or workplace reconfigurations.
  • Working knowledge of commercial office furniture systems and workstation components preferred.
  • Ability to read and interpret floor plans, furniture plans, and basic space-planning drawings.
  • Experience working with movers, furniture installers, contractors, and other service vendors.
