Job description

Administrative Coordinator - International Student Services **POSITION DETAILS** Founded in 1971 in Long Island City, Queens, LaGuardia Community College is one of seven community colleges of the City University of New York (CUNY). LaGuardia offers more than sixty associate degree programs and more than fifty workforce training, ESOL, GED, and pre-college programs. In 2023, LaGuardia served approximately 24,000 students. More than one-third of LaGuardia's degree-seeking students are born outside the United States; they come from 136 countries and speak 43 heritage languages. Sixty percent are first-generation college students. Virtually all LaGuardia students are ethnic minorities (89 percent), 58 percent are women, 27 percent are over the age of 25. Forty-six percent of associate degree students are Hispanic. Upon graduation most students transfer to four-year colleges, typically in CUNY, to complete their baccalaureate degrees. Graduates of career programs such as Nursing, Computer Technology, and Veterinary Technology enter the workforce. LaGuardia ranked fifth among U.S. community colleges in economic mobility - moving low-income students into the middle class and beyond - in studies by Stanford University (2017) and the Brookings Institution (2020). The International Student Services (ISS) Office supports F-1 international students throughout their academic journey by providing immigration advising, regulatory compliance, orientation, programming, and student success services. The office ensures compliance with federal immigration regulations while fostering an inclusive, welcoming, and student-centered environment. Reporting to the Director of International Student Services, the Administrative Coordinator supports the operational and administrative functions of the ISS Office and serves as a central point of coordination for student-facing services, office administration, and operational logistics. The position plays a key role in ensuring efficient office operations, supporting immigration processing workflows, coordinating communications, and maintaining a high level of customer service. The Administrative Coordinator will be responsible for, but not limited to, the following duties: + Coordinate front desk operations and serve as the primary point of contact for international students, prospective students, and campus visitors; prepare correspondence, reports, spreadsheets, presentations, and office documentation; maintain office files, records, and tracking systems. + Respond to general inquiries in person, by phone, and by email; triage requests and direct students to the appropriate staff member; assist with student check-in processes, appointment scheduling, and visitor flow; + Support a welcoming and culturally responsive student experience; + Coordinate purchasing, supply inventory, and office equipment needs; + Provide administrative support for immigration document processing, including organizing documentation and tracking requests; + Maintain internal databases and assist with SEVIS-related administrative recordkeeping under the direction of Designated School Officials; + Support orientation programs, workshops, information sessions, and student engagement activities; + Assist with communications to students regarding immigration updates, deadlines, and office initiatives; + Coordinate office calendars, meetings, and special projects; + Collaborate with Admissions, Registrar, Bursar, Academic Advising, and other campus offices to support student services; + Assist with website updates, informational materials, and departmental communications; + Support the Director with departmental initiatives, assessment activities, reports, and special projects; + Assist with onboarding and coordinating College Assistants and student employees. **QUALIFICATIONS** Bachelor's Degree required. **PREFERRED QUALIFICATIONS** + Experience supporting administrative or office operations, preferably in a higher education or student services environment. + Experience working in a high-volume, student-facing or customer service setting. + Strong organizational skills with the ability to manage multiple tasks in a fast-paced office environment. + Proficiency in Microsoft Office applications (Word, Excel, Outlook). + Experience coordinating office logistics such as front desk operations, materials preparation, or supply management. + Demonstrated ability to work effectively with diverse populations. + Bilingual ability preferred (Spanish strongly preferred). **CUNY TITLE OVERVIEW** Supports projects, initiatives, and activities that impact an academic or administrative department. - Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. - Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. - Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. - Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. - Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. - Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. - May supervise office staff and student workers. - Performs related duties as assigned.
