Job description

SUMMARY:This position is responsible for the day-to-day implementation, maintenance, coordination, safeguarding and application of the University's students' academic policies and procedures.
DUTIES AND RESPONSIBILITIES:
• Maintain and manage all former and current student academic records in
accordance with institutional policy, state and federal records retention
policies, assist with maintenance of department and specific transcript inquiry
electronic messages. Responsible for student name and address updates.
• Updates department SIS (student information system for accuracy of
archived student records and implementation for records processing.
• Provides support and collaboration with external agencies such as NMEAF
and National Student Clearinghouse. Provide assistance to Assistant
Registrar regarding preparation of degree files for completion for potential
graduating students.
• Assist with processing of institutional petitions routed with approval or denial
to the department. Process transfer credit for entering Nursing students for
degree completion.
• Creates student records in accordance with department standard operating
procedure.
• Generates student Official Transcripts and upload to our third party for the
completion and delivery of transcripts.
• Responds to phone, email and fax inquiries by providing information to
current and former students of the policies and procedures concerning their
academic record and providing excellent customer service.
• Ensure accuracy of the student regarding course repeats at the end of each
semester. Collaboration with faculty across the institution for permission and
missing grading inquiries.
• Responsible for the preparation, security and imaging of student records.
• Maintains student record management, updating, correcting, maintaining and
coding student records in regards to degree completion.
• Ensure accuracy of all student records prior to release to a third party. Assist
with education verifications from external agencies/employers.
• Schedules and prepares student files for the Registrar' and Assistant
Registrar for daily appointments. Calls and reminding students about their
appointments.
• Responsible for student record management, updating correcting,
maintaining and coding student records in regards to degree completion.
Make sure we are complying with state statue in record maintenance and
student handbook on the purging and archiving of student records. Maintain
the electronic transcript delivery service for students.
• Performs other job-related duties as assigned.
Pay is commensurate with experience
• Education: High School Diploma or GED.
• Experience: Five (5) years of experience
• Must be willing to work evenings, weekends, holidays, odd hours as needed.
• Knowledge of university environment and students.
• Knowledge and skill using Microsoft Office products.
• Knowledge of registration policies and procedures.
• Knowledge of FERPA regulations and changes for department and university
use.
• Knowledge of general office practices and procedures.
• Knowledge of routing office procedures.
• Knowledge of computers, office equipment and computer programs.
• Knowledge of proper telephone etiquette.
• Ability to maintain effective working relationships.
• Ability to interact appropriately with undergraduate students, support staff,
and professional staff.
• Ability to communicate both orally and in writing at a high level.
• Ability to utilize independent judgment.
