GENERAL RESPONSIBILITIES


Our team is looking for candidates that are open to an exciting medical career in the area of treating clients with addictive disease and co-occurring mental health needs.


The Medical Coordinator serves as a vital support role for our medical team, providing comprehensive administrative and clinical assistance to mid-level and physician-level providers in our ASAM Level 2.1 and 2.5 addiction treatment programs. This position is integral to the successful implementation of treatment model and ensures seamless medical care delivery for our patients.


SPECIFIC RESPONSIBILITIES

    • Administrative Support
      • Provide comprehensive administrative support to mid-level practitioners (NPs, PAs) and physician-level providers
      • Create and maintain weekly provider schedules for client appointments and medical consultation
      • Coordinate and manage appointment rescheduling, cancellations, and urgent add-ons
      • Maintain accurate documentation of provider schedules and patient flow
    • Educational Support
      • Provide medication education groups to clients
      • Provide staff training on basic medical condit and situations

    • Clinical Preparation and Support
      • Prepare providers before client meetings by reviewing charts, gathering relevant information, and organizing necessary materials
      • Conduct post-examination debriefings with providers to ensure proper documentation and follow-up care
      • Assist with clinical documentation as directed by provider
      • Prepare examination rooms and ensure proper medical equipment availability
    • Prior Authorization and Insurance Coordination
      • Complete prior authorizations for medications, treatments, and procedures
      • Communicate with insurance companies and managed care organizations regarding medical necessity
      • Track authorization statuses and follow up on pending requests
      • Maintain detailed records of authorization activities and outcomes
    • Medication Management Support
      • Administer patient injections including MAT medications (Sublocade, Brixadi, Vivitrol) under provider supervision
      • Prepare and organize medications for provider review
      • Submit prescription orders on behalf of prescribers to pharmacies
      • Coordinate with consolidated pharmacy partner for medication delivery and support
      • Assist with medication reconciliation and patient education

    • Communication and Coordination
      • Serve as liaison between providers, patients, and families regarding medical concerns
      • Coordinate with clinical staff, case managers, and other team members
      • Communicate with external healthcare providers and specialists for referrals
      • Facilitate communication regarding patient care plans and treatment updates
    • Quality Assurance and Compliance
      • Ensure compliance with HIPAA regulations and patient confidentiality standards
      • Maintain accurate and timely medical records and documentation
      • Support quality improvement initiatives and outcome measurement activities
      • Assist with regulatory compliance and accreditation requirements
    • Additional Responsibilities
      • Support telemedicine appointments and digital health initiatives
      • Assist with patient intake and assessment processes as needed
      • Coordinate with laboratory services for specimen collection and results management
      • Participate in staff meetings and continuing education activities
      • Provide backup support for other medical staff as needed
      • Assist with inventory management of medical supplies and equipment


    EDUCATION AND CERTIFICATION

      • Current certification as Medical Assistant (CMA), Certified Nursing Assistant (CNA), or Licensed Practical Nurse (LPN)
      • Current CPR/BLS certification
      • Maintain current state licensure/certification in good standing

    EXPERIENCE

      • Minimum 2 years of experience in medical assistant, nursing assistant, or practical nursing role
      • Experience in healthcare administration and provider support preferred
      • Previous experience in behavioral health, addiction treatment, or psychiatric settings preferred
      • Experience with prior authorization processes and insurance coordination preferred
      • Ability to pass a criminal background check and standard specimen panel for illicit drug use.
      • If in recovery, must have at least two (2) years of clean time.
