Job description

Directly manages the overall operation, organization, program planning, membership recruitment, and maintenance of one Clubhouse facility. Responsible for attaining membership goals by maximizing the member's experience through oversight of program and service delivery. Responsible for achieving revenue goals for the club through consistent collection of appropriate fees, as well as application of the Child Care Assistance program, if applicable.

The essential job duties for this role include:

  • Provides overall management and coordination of a variety of Clubhouse functions including club programs oversight, membership application and recruitment, community relations, personnel, finance, budget, special events, space and facilities planning;
  • Establishes club programs, activities, and services that prepare youth for success and that create a club environment that facilitates achievement of Youth Development Outcomes;
  • Ensures and maintains maximum daily member attendance and membership growth according to organization standards and goals;
  • Ensures all membership applications and corresponding data is input into the member database system in a timely and accurate manner. Compiles monthly statistical reports reflecting all activities, attendance, and participation;
  • Evaluates club's processes, programs, and systems for continuous improvement and innovation opportunities. Conducts periodic program evaluations and written analysis of member needs and interests; assists in development of annual program objectives, monthly calendars and prepares relevant reports;
  • Facilitates the recruitment, orientation, training, evaluation, and counseling of Clubhouse staff and volunteers, and participates in the hiring process. Provides positive leadership, support, recognition, rewards, and job skills development opportunities to all Clubhouse personnel through effective supervision and performance management, training and constructive discipline of staff according to organization standards and guidelines. Schedules, organizes, and directs assignments. Conducts regular staff meetings. Makes recommendations to the Area Director for final staffing decisions;
  • Oversees the maintenance and safe operation of the physical properties and equipment of the Clubhouse including use of facility by outside groups. Responsible for the cleanliness, attractiveness and safety of Clubhouse, properties and equipment;
  • Manages Clubhouse financial resources, assists in the development of annual budgets. Reviews and monitors Clubhouse budget and controls expenditures against budget. Ensures the maximum and consistent application of Child Care Assistance program, where applicable, and collection of member fees. Review, process and authorize all revenues/expenses as defined by accounting procedures which include petty cash, club deposits, purchase orders, and travel expense vouchers. Authorize the use of company credit cards and charge accounts. Secure cash, credit cards and valuables at the close of each day. Ensure secure handling of cash at all times;
  • Develops and maintains friendly and cooperative relationships with the public, schools, civic groups and social agencies within community. Represents the organization at community meetings, gatherings and events that may help further the goals of BGCSNV, and interprets its objective, standards and programs. Promotes and stimulates membership within the Club. Coordinates with BGCSNV Administration and Area Director regarding all publicity needs for programs and services within the Club and the community;
  • Ensures a healthy and safe environment for staff, volunteers, members, and visitors. Oversees and ensures the consistent enforcement of Clubhouse rules, organization policies, procedures and practices.
Other Duties
  • Purchases or approves purchase of supplies and equipment;
  • Participates in the required operational functions of BGCSNV special event fundraisers;
  • Works with staff on special events and to carry out programs in all departments when necessary;
  • Exercises authority in problems relating to members; utilizes guidance and discipline plan;
  • May provide attention and direction to special needs children;
  • May be assigned other duties as requested by supervisor
Relationships:

Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions, instruct and advise/counsel.

External: Maintains contact as needed with external community groups, schools, members’ parents/guardians, and others to assist in resolving problems. Establishes rapport with parents/guardians to promote open lines of communication regarding members’ participation in Club programs. Coordinates with Clubhouse Director, BGCSNV Administration, and Community Relations Manager for any publicity regarding programs and services.

  • Four-year degree in related field (e.g., education, child development, recreation and leisure) from an accredited college or university, and a minimum of two years' work experience in a Boys & Girls Club or similar organization, planning and implementing activities based on the developmental needs of young people; or
  • A minimum of four years progressively responsible work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people and a two-year degree from an accredited college or university
  • Proficient in Internet use and Microsoft Office
  • Ability to deal effectively with multi-age children, small groups of children in activities and free play, and large groups of children in organized activities
  • Demonstrated ability to handle multiple demands from several people
  • Ability to interact well with the public and co-workers
  • Ability to meet deadlines with severe time constraints

  • Ability to sit, walk and stand for prolonged periods, and walk quickly on occasion
  • Ability to bend or twist at the neck and trunk to supervise youth
  • Ability to squat, stoop and kneel to access low level storage areas, cabinets and supplies, and to work with small children
  • Ability to reach forward and above the head to access high shelves, supply areas, etc.
  • Ability to repeat the same hand, arm or finger motion; type for long periods of time
  • Ability to grasp and hold a variety of items
  • Ability to climb ladders and step stools for access to high shelves, decorating program areas & bulletin boards, etc.
  • Manual and finger dexterity sufficient to produce a wide variety of projects, make minor equipment repairs, etc.
  • Ability to lift articles weighing up to 20 pounds from floor to waist, waist to shoulder, and shoulder to overhead for stocking shelves and other supply areas
  • Ability to carry items up to 25 pounds up to 25 feet
  • Ability to lift items weighing up to 25 pounds from floor to waist such as program supplies and recreation equipment
  • Ability to push and pull articles weighing up to 50 pounds such as recreation equipment, furniture, tables and other equipment, and supplies over carpeted and tiled floors, concrete, blacktop or paved roads and other rough outdoor surfaces
  • Ability to work inside and outside, in temperatures above 100 degrees (seasonally/occasionally), on slippery surfaces and in inclement weather for brief periods of time (such as walking youth to school in the rain)
