Flex intends to spin off its Cloud and Power Infrastructure segment into a new, independent publicly traded company, which we're calling SpinCo, until the name is unveiled. The spin is planned for Q1 2027. If the intended spin occurs, this role will support SpinCo, which will focus on critical digital infrastructure, delivering end-to-end power and thermal management solutions for AI data centers and other mission-critical applications.

SpinCo is seeking a strategic, execution-oriented, and technology-savvy Executive Assistant to support the Chief Legal Officer. This role serves as a trusted partner to the CLO, ensuring exceptional execution across executive administration, Board of Directors support, event planning, legal department operations, strategic project coordination, and executive communications.

In keeping with SpinCo's AI-first operating model, the Executive Assistant will leverage AI-powered tools, digital agents, and workflow automation technologies to streamline administrative processes, increase organizational effectiveness, and enhance productivity across the Legal organization. This individual will operate with a high degree of discretion, business judgment, and professionalism while managing sensitive and confidential information.

The ideal candidate combines traditional executive support excellence with business and financial acumen, strong operational discipline, technological curiosity, strong project management skills, and a continuous improvement mindset.

Key Responsibilities

Executive Support & Department Management

  • Develop organizational strategy and enhance process standards across global Legal and HR team.
  • Manage the Chief Legal Officer's complex global calendar, ensuring priorities are optimized and aligned with key business objectives.
  • Coordinate internal and external meetings, department and Board events, leadership reviews, and customer engagements.
  • Arrange domestic and international travel, including visas, itineraries, and logistics.
  • Prepare executive briefings, presentations, meeting materials, and follow-up communications.
  • Manage confidential correspondence and sensitive legal and business information with the highest degree of discretion.
  • Anticipate executive needs and proactively resolve scheduling, logistical, and operational challenges.

AI-Enabled Administrative Excellence

  • Utilize AI tools such as Gemini AI, Copilot, bespoke-AI agents, and workflow automation tools to streamline department processes and increase productivity.
  • Develop and maintain AI-driven workflows for scheduling, document preparation, action-item tracking, meeting summaries, and information management.
  • Identify opportunities to automate repetitive administrative tasks and improve operating efficiency across the Legal organization.
  • Serve as an early adopter and advocate for AI-enabled productivity solutions within the executive support function.

Board of Directors Support & Governance

  • Coordinate logistics and administration for Board of Directors meetings, committee meetings, and governance activities.
  • Manage board calendars, timelines, materials distribution, meeting coordination and travel.
  • Partner closely with the CEO's Chief of Staff, Legal, Finance, Investor Relations, and Executive Leadership Team members to ensure board deliverables are completed accurately and on time.
  • Assist with preparation, organization, and quality control of board books, presentations, and governance documentation.
  • Maintain board records and support governance processes in alignment with company policies and legal requirements.

Legal Operations & Project Coordination

  • Support departmental operating rhythms, leadership team meetings, and key Legal initiatives.
  • Track and monitor action items, project milestones, and deliverables across the Legal organization.
  • Coordinate cross-functional projects involving Compliance, Corporate Governance, M&A, Litigation, Intellectual Property, and Commercial Legal teams.
  • Prepare dashboards, reports, and status updates for leadership review.
  • Drive operational excellence and continuous improvement initiatives within the department.

Stakeholder & Communications Management

  • Build strong working relationships across the Executive Leadership Team, Board members, external counsel, and key business leaders.
  • Serve as a central coordination point for communications involving the CLO and Legal Leadership Team.
  • Facilitate effective information flow across internal stakeholders while maintaining appropriate confidentiality.
  • Support executive communications, organizational announcements, and leadership presentations as needed.

Qualifications

Required

  • Bachelor's degree or equivalent experience.
  • 8+ years of progressively responsible Executive Assistant experience supporting C-suite or senior executive leaders or equivalent project management and/or operations role.
  • Experience supporting Board of Directors activities and governance processes.
  • Strong project management discipline, including milestone planning, risk management, status reporting, budget tracking and accountability mechanisms.
  • Advanced proficiency with Microsoft Office (including Excel, PowerPoint and Word), collaboration technologies, and productivity platforms.
  • Demonstrated experience leveraging AI tools and automation technologies to improve productivity and workflows.
  • Exceptional organizational, communication, and prioritization skills and experience partnering with senior executives and influencing across functions without direct authority
  • Comfort operating in a fast-moving, ambiguous environment with high visibility and evolving priorities.
  • Demonstrated ability to handle highly confidential information with discretion and professionalism.

Preferred

  • Experience supporting Legal, Governance, Compliance, Corporate Secretary, or Finance organizations.
  • Experience in public company environments and Board governance practices.
  • Familiarity with board management platforms and document management systems.
  • Experience supporting high-growth, global organizations.
