This position works within a clinical support staff pool and plays a vital role in the agency in facilitating office operations, and effective scheduling and organizational support services ofย MiSide programs. The Clinical Support Staff is responsible for planning, coordinating andย organizing the schedules of individual, teams, or resources throughout the organization. Theย person in the position must be flexible and willing to assist staff, managers, and consumers ofย the agency in a respectful, professional, and courteous manner. This position operates underย the general guidance and supervision of the Clinical Support Staff Supervisor and collaboratesย closely with the Managers and Directors in their respective locations.
Customer Service Expectation:

โขย ย ย Assist clients, stakeholders, vendors, staff and leadership with requests in a courteous and efficient mannerย
โขย ย ย Responsible for routing calls to the appropriate personnelย
โขย ย ย Ability to work as a team player within a secretarial pool
โขย ย ย Must meet agency performance/productivity standards
Scheduling and Monitoring:
โขย ย ย Perform insurance verification and updating demographics as necessary
โขย ย ย Plan and manage daily, weekly, and monthly prescriber schedules
โขย ย ย Use the agency EMR to schedule, coordinate, and confirm consumer appointments
โขย ย ย Communicate and coordinate prescriber schedule changes, ensure calendars are set up correctly
โขย ย ย Backfill cancelled appointments
โขย ย ย Generate reports: monitor vacant slots, no-shows by program/prescriber
โขย ย ย Work with the Medical Director to assess prescriber needs
โขย ย ย Daily review of the prescriberโs caseloads and schedule those not seen in 59 days.
โขย ย ย Manage the appointment scheduling queuesย
โขย ย ย Reschedules for missed appointmentsย
โขย ย ย Complete annual updates ( consent forms )
Record Keeping:
โขย ย ย Responsible for ensuring filing and scanning is completed in an efficient manner for the clinical staff.ย
โขย ย ย Responsible for managing incoming fax requests
โขย ย ย Ability to effectively utilize electronic record system
Audits and Special Projects:
โขย ย ย Assist in preparation of, compilation of, correspondence and coordination required for audits and special projects.
โขย ย ย Other tasks and responsibilities, as assigned
โขย ย ย Participate in administrative staff meetings, agency committees, and other projects as assignedย
โขย ย ย Adhere to MiSide policies and proceduresย
โขย ย ย Adhere to MiSide code of ethics, and comply with local, state and federal lawsย
Minimum Job Requirements:
- Education:ย ย
- High School or Equivalent
- Experience:ย ย
- Two or more years of clerical experience
- Proficiency with basic office software programs
- Knowledge of mental health challenges, preferred
- Some locations require bilingual staff who are proficient in both written and spoken Spanish and English

- Some awareness and positive regard for persons with mental health challenges
