Responsibilities:

Provides customer-focused service to support the care of patients, families and visitors in an outpatient setting. Pre-registers patients, schedules appointments, coordinates referrals and coordinates disposition procedures. Coordinates and supervises the daily activities of a support, production or operations team. Sets priorities for the team to ensure task completion.

General Purpose
Implements operational/business functions in a clinical area/department. Functions may include clinic workflow, clinical quality outcomes, patient relations/satisfaction, clinic-specific budget and coordination. May supervise and/or provide direction to associate-level staff. May oversee specific departments or functions. With limited direction, plans, organizes, and coordinates business operations in accordance with strategic goals within the organization and works on special projects related to clinical operations as directed.
Essential Functions

  • Examines processes to improve efficiency related to patient care. Organizes and creates processes that support the department's needs and goals related to patient care. Evaluates needs, recommends plans, and implements changes to improve overall efficiencies of the assigned area, including the admission process, regulatory compliance, and patient satisfaction. Identifies systems of care that optimize patient access and high-quality services. Leads workflow development and implementation.
  • Provides guidance to staff working on provider scheduling templates to promote efficient workflows and patient care. Develops and implements workflow improvements, including presenting best practices to teams both within and outside of the department.
  • Works with providers and staff within department and multiple other sub-specialists to coordinate care and resolve problems related to the access to care for patients.
  • Performs quality assurance monitoring for activities in the area of immediate responsibility, as well as of other areas that affect it. Partners with central resources for implementation of best practices. Uses specific criteria to measure quality, quantity, and timeliness. Makes recommendations for improvements or identifies areas in need of further attention in conjunction with supervisor.
  • Manages assets and inventory used throughout assigned area. Maintains inventory of office and clinical testing supplies and participates in establishing reorder levels and initiating procurement requests. Works with departmental Finance and administration to plan for capital equipment renewal/replacement or lease as needed.
  • Gathers, analyzes, and interprets data. Prepares reports and makes recommendations that have policy implications. Collects information and provides department leadership with data for assessing clinical staffing needs.
  • Acts as liaison to outside facilities, providers, and patients. Negotiates both internally and externally to obtain key resources to facilitate and streamline patient care.
  • Assists with training new staff , providing training documents, documenting successful completion of training, and maintaining the office flow. Assigns work as needed. May be involved in outreach and marketing in conjunction with departmental leadership and central resources. May work on social media projects and initiatives as needed.

Knowledge & Experience

  • Bachelor's degree and 3 years of relevant experience required
