From front desk coordination and office operations to administrative and seasonal tax support, this position plays an important role in the day-to-day success of the firm.

What You'll Do
Client Experience & Front Desk Coordination
  • Welcome clients and visitors with professionalism and warmth
  • Answer and route incoming phone calls
  • Coordinate client arrivals and meeting flow
  • Maintain a polished and organized front office environment
  • Manage document drop-offs, pickups, and front desk organization
  • Support an exceptional client experience from start to finish
Office Operations & Facilities Support
  • Help maintain a clean, organized, and professional office environment
  • Prepare conference rooms for meetings and events
  • Order and manage office, kitchen, and supply inventory
  • Coordinate facility requests and vendor communication
  • Manage mail, packages, certified mail, and document distribution
  • Support onboarding logistics and internal office coordination
  • Assist with firm lunches, meetings, and seasonal events
Administrative & Finance Support
  • Assist with collections follow-up and administrative finance tasks
  • Support expense tracking and month-end billing processes
  • Maintain organized documentation and reporting support
  • Provide general administrative assistance across departments
Seasonal Tax & Administrative Support
  • Assist with organizing and processing tax-related documents during busy season
  • Coordinate client follow-ups for missing information
  • Support delivery tracking, signatures, and document flow
  • Provide additional administrative support during peak periods

Requirements
Required
  • 1+ year of administrative, office support, or client service experience (professional services experience preferred)
  • Professional and welcoming communication skills, both in person and over the phone
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities and adapt throughout the day in a fast-paced environment
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to quickly learn new systems
  • Ability to work independently while exercising good judgment and knowing when to seek guidance
  • Reliable attendance and ability to consistently maintain front desk coverage

Preferred
  • Experience in a CPA firm, legal office, or other professional services environment
  • Experience supporting high-volume or seasonal workloads
  • Exposure to billing, collections, or administrative finance support
  • Experience with document management systems or client portals such as SafeSend or ShareFile
  • Experience supporting office operations, facilities coordination, or broader administrative management responsibilities preferred
