Our team provides educational solutions for adolescents and children through individual assessment, personally tailored learning programs, and one-on-one coaching.
Freudigman & Billings seeks a Client Engagement Associate to join our Client Services team. The Client Engagement Associate is a critical member of the team, responsible for creating a seamless experience for students, families, and instructors while ensuring the daily operations of our center run smoothly.
The Client Engagement Associate serves as a primary point of contact for families and students and plays a key role in coordinating onboarding, communication, scheduling and administrative processes. This position requires exceptional organizational skills, strong judgment, and the ability to manage complex details with accuracy and professionalism.
The ideal candidate enjoys solving puzzles. Whether it is finding the right scheduling solution, balancing competing priorities, or anticipating the needs of students, families, and instructors, this role requires someone who enjoys making complex pieces fit together. Think Sudoku, Tetris, or chess - success comes from seeing the big picture while managing the smallest details.
This role is ideal for someone who thrives in a fast-paced environment, enjoys learning new technology, creates efficiency wherever possible, and understands that client service in an educational setting is far more complex than transactional scheduling.
Core Responsibilities
  • Prioritize and manage shared communication channels, including Welcome inboxes, and ensure timely responses and follow-through.
  • Coordinate scheduling services for new clients and advising meetings for current clients.
  • Assist the Director of Client Services with scheduling onboarding calls.
  • Support the onboarding process for new families by collecting required documentation, entering new client information into internal systems, and preparing client files.
  • Maintain and update databases to ensure accurate tracking of prospective and current clients.
  • Assist the Client Services Team with major cyclical scheduling projects throughout the academic year.
  • Maintain knowledge of local school calendars, academic schedules, standardized testing timelines, and seasonal programming.
  • Collaborate closely with the Client Services Team and other key members of the office to support efficient daily operations.
  • Manage incoming phone calls, greet and direct students and families, and provide a welcoming, professional front-office experience.
  • Assist with facility coordination, including communication with the landlord and supporting day-to-day office operations as needed.
  • Maintain strict confidentiality of all student and family information.

Required Qualifications & Experience
Education
  • Bachelor's degree (B.A. or B.S.) required.

Experience
  • Two or more years of experience in scheduling, administrative support, client services, customer service, or office operations.
  • Demonstrated success with office management and managing complex administrative responsibilities
  • Strong proficiency with Google Workspace, scheduling software, and data management systems.
  • Advanced proficiency with Apple products and Mac operating systems.

Physical & Environmental Conditions
  • Prolonged periods of sitting or standing while working at a computer.
  • Ability to lift up to 15 pounds occasionally.
  • This is a full-time, on-site position based in our Westport, CT office.
  • Monday through Friday, 9:30 a.m. to 6:00 p.m.
  • Reliable transportation is required.
  • Candidates must be authorized to work in the United States and successfully complete a background check.
