JOB SUMMARY

At Gratsy our Client Services Coordinator (CSC) supports the Client Services team by helping manage the day-to-day coordination, communication, and documentation required to deliver successful client campaigns. This role is execution-focused and highly cross-functional, partnering closely with Client Services Leads, Operations, Creative, Events, Talent, Fulfillment, and Finance to ensure campaign details, timelines, and client needs are tracked, organized, and moving forward.

Our CSCs are organized, proactive, detail-oriented, and calm under pressure. Though CSCs are not the owner of full campaigns, you are still accountable for keeping assigned workstreams, tasks, and client support needs running smoothly. Responsibilities include and are not limited to the below:

  • Support Client Services Leads with executional elements of campaigns across planning, activation, and wrap-up phases
  • Coordinate with internal teams and key stakeholders to ensure assigned campaign tasks are completed on time
  • Maintain accurate timelines, task ownership, and campaign details in Asana
  • Track campaign progress and flag risks, delays, or missing inputs early
  • Serve as the main point of contact for specific client support tasks as assigned
  • Manage day-to-day communication for assigned campaigns or workstreams
  • Prepare and send meeting recaps, action items, and follow-ups
  • Respond to client or internal inquiries promptly and professionally
  • Maintain up-to-date information in Asana, SharePoint, and CRM tools
  • Ensure campaign files, decks, and documentation are organized and easy to find
  • Support preparation of client presentations, creative decks, status updates, internal and client-facing documents
  • Track campaign expenses and support budget reconciliation in partnership with Finance
  • Ensure receipts, invoices, and expense documentation are complete and submitted on time
  • Flag discrepancies or overages early
  • Respond to customer inquiries related to orders or shipments
  • Troubleshoot issues in coordination with internal operations teams and third-party shipping partners
  • Escalate issues appropriately when resolution requires leadership input
  • Identify opportunities to improve activation plans, workflows, and internal tracking
  • Suggest small process improvements that increase efficiency and clarity
  • Support adoption of new tools or workflows as needed
  • Support onsite execution for events, site visits, or client meetings as needed
  • Represent Gratsy's brand and values with clients, vendors, and partners.

EDUCATION & RELATED EXPERIENCE REQUIRED

  • High school diploma or equivalent required.
  • Bachelor's degree in marketing, business, communications, or related field preferred.
  • 1+ year(s) of professional experience in marketing, retail, experiential, start-up, or agency environments.
  • 1+ year(s) of professional experience in project management, account coordination, or clientfacing role.

WORK SCHEDULE AND LOCATION

Enjoy our hybrid onsite environment! This position will be located in the company's HQ. Team members based out of this location work in the Gratsy Bentonville, AR office at a minimum Tuesday through Thursday, and remotely on Monday and Friday, depending on business needs.

Eligible employees can voluntarily participate in the Company's 401(k) plan where Gratsy matches employee contributions, dollar-for-dollar (100%) up to the first 4% of your annual salary.

PAID TIME OFF/COMPANY HOLIDAYS

Gratsy offers various types of time away! Each year we offer eligible employees 10 paid observed holidays, and an additional 20 days of Paid Time Off (PTO/vacay time) annually. We also offer generous flexible time off during the holiday season!
