Job description

Job Title: Client Services Associate
Position Overview
The Client Services Associate/Hospitality & Workplace Operations Associate is responsible for maintaining a clean, efficient, and welcoming environment across conference spaces, workplace areas, restrooms, pantries, and facility operations. This role supports hospitality services, office services, and facilities coordination to ensure an exceptional experience for employees and guests. The ideal candidate is detail-oriented, proactive, and service-driven, with strong execution skills and the ability to support daily operations in a fast-paced corporate setting.
Key Responsibilities
Hospitality & Conference Room Support
  • Reset conference rooms after each use; push in chairs, wipe down tables, remove trash.
  • Dust equipment and ensure all rooms remain clean and presentation ready.
  • Break down boxes and remove trash to the designated freight area.
  • Maintain an organized, hazard-free freight area.
  • Support event setups, breakdowns, and workplace experience activities.
  • Verify that AV equipment and touch panels are functional; escalate issues as needed.
Housekeeping & Pantry Operations
  • Fully stock all pantry items including coffee, tea, milk, sweeteners, utensils, cups, plates, napkins, soap, etc.
  • Remove expired items and ensure all supplies are replenished throughout the day.
  • Sweep/Swiffer floors in pantry and elevator lobby areas.
  • Ensure 409 cleaner and Magic Erasers are available for employee use.
  • Verify proper functioning of coffee machines, water dispensers, and ice machines.
  • Clean refrigerators every Friday after 3:30 PM.
  • Wipe down all surfaces, appliances, and glass doors.
  • Run dishwasher at the end of day when full.
Restroom Maintenance
  • Stock toilet paper, napkins, soaps, and paper supplies.
  • Keep all restrooms clean, neat, and presentable.
  • Wipe down counters and address spills immediately.
Facilities Support
  • Replace burnt-out light bulbs and ensure lighting is operational.
  • Ensure access doors remain closed and secure.
  • Report any building-related issues (HVAC, plumbing, electrical) to management.
  • Perform minor furniture fixes; escalate when third-party support is required.
  • Move boxes and assist with office setups as requested.
  • Support Executive Assistants with operational requests.
  • Perform daily walkthroughs-morning and afternoon-to ensure overall readiness.
  • Lift boxes up to 25-35 pounds as needed.
Mailroom & Office Services
Supports tasks related to:
  • Mailroom operations

Service Request Management
  • Log, track, and complete service requests within defined SLAs:
    • Urgent: Immediate
    • High Priority: Same day
    • Standard: 24-48 hours
  • Provide timely updates and escalate delays or barriers.
Vendor & Building Coordination
  • Ensure Certificates of Insurance (COIs) are received before any vendor work.
  • Schedule, escort, and oversee vendor activity; confirm completion.
  • Coordinate with property management for HVAC, electrical, plumbing, and freight access.
Inventory & Supplies
  • Monitor and replenish stock levels proactively.
  • Track usage trends and ensure adequate inventory across all floors.
Events & Projects
  • Support event logistics, room setups, and project coordination.
  • Manage vendor activity and ensure space readiness.
Safety & Compliance
  • Maintain compliance with building regulations and fire codes.
  • Ensure no items are stored in hallways or common areas.
  • Report and resolve safety concerns immediately.
Continuous Improvement
  • Identify operational efficiencies and cost-saving opportunities.
  • Support standardization of processes across locations.
  • Contribute to enhancing the overall workplace experience.
Compensation:
The expected compensation is an estimate, and the final offer will depend on skills, experience, and other job-related factors.
