Job description

Client Services Representative (SVSS)

Southwest Veterinary Surgical Service (SVSS) is a specialty referral surgical practice built on expertise, collaboration, and compassion. Our board-certified surgeons bring over eighty years of combined surgical experience and are deeply committed to providing exceptional surgical care with a strong emphasis on pain management and patient comfort.

We proudly serve as an extension of the primary care veterinary practices in our community. Our partnerships with referring veterinarians allow us to deliver comprehensive, coordinated care while maintaining the highest standards of client service.

At SVSS, our reputation for leadership and innovation is driven by our people. We believe in supporting one another, encouraging growth, and creating an environment where team members feel valued, empowered, and inspired to do their best work.

Are you someone who thrives in a fast-paced environment and enjoys making meaningful connections—both with people and their pets? At SVSS, our Client Services team plays a vital role in creating a compassionate, organized, and welcoming experience for every client who walks through our doors.

As the first impression of our hospital, you'll set the tone for each visit—providing exceptional service, supporting clients through both routine and sensitive moments, and helping ensure every patient receives the care they deserve.

This role is ideal for someone who is comfortable around animals, confident navigating emotional or high-pressure situations, and energized by multitasking in a busy clinical setting.

What You'll Do
  • Create a warm, welcoming experience for clients and their pets from arrival to departure
  • Manage appointment check-ins, discharges, and scheduling for both visits and procedures
  • Communicate clearly and professionally with clients, doctors, technicians, and referring partners
  • Answer and route calls while providing accurate and helpful information
  • Support patient flow by coordinating with the medical team and keeping schedules on track
  • Maintain accurate and up-to-date patient records
  • Assist clients with forms, estimates, and general questions
  • Process payments, balances, and daily deposits
  • Help keep the front office organized, clean, and running smoothly
What You Bring
  • A genuine passion for helping people and animals
  • Comfort working in emotionally sensitive situations and handling occasional conflict with professionalism and empathy
  • Strong multitasking skills and the ability to stay organized in a fast-paced environment
  • Basic computer proficiency and attention to detail
  • A positive, team-oriented mindset
What You'll Learn & Contribute
  • Gain hands-on exposure to a wide range of veterinary services and patient care processes
  • Build familiarity with medical terminology, common conditions, and clinic operations
  • Maintain compliance with safety protocols (including OSHA standards and infectious disease prevention)
  • Play a key role in strengthening relationships with clients and the referring veterinary community
A Day in the Life

From opening the clinic and preparing for the day ahead, to supporting clients through their visits and ensuring a smooth close, no two days are the same. You'll be at the center of it all—keeping things organized, supporting your team, and making a difference in every interaction.

Qualifications:

  • 2+ years' experience in a veterinary setting, surgical or specialty preferred
  • Demonstrated knowledge of and skill in adaptability, change management, decision making, customer service, interpersonal relations, oral communication, problem solving, systems thinking, teamwork, initiative, and detail-orientation
  • Ability to orient and train as needed
  • Ability to read, write and speak the English language fluently
  • Must be able to work well with team members
  • Passionate about animals
  • Ability to relate with customers in a friendly and professional manner
  • Excellent phone etiquette
  • Proficiency with computers
  • Good temperament to withstand bad behavior from some animals
  • Ability to exercise patience with clients
  • Strong Interpersonal and Communication Skills
  • Exceptional Customer Service Skills
  • Exceptional organizational skills to keep work environment tidy and comfortable, as well as to perform assignments efficiently.
  • Overachieving attitude and enhanced work ethic
  • Ability to work in a fast past with different personality types
  • Schedule flexibility
