Role Overview:
This role provides administrative support to Team Members and clients by performing a variety of complex duties in the areas of client service, financial planning, investment management, office administration and/or accounting to support Financial Advisors and Financial Planners in serving and assisting clients in meeting their goals and providing the highest quality client service.
This role is ideal for someone who is highly relational, intellectually curious, and a natural problem solver. Individuals in this position will play a key role in deepening client relationships and delivering exceptional service that reflects our commitment to excellence.
Principal Accountabilities:
1. Initiates and monitors administrative details to serve team and clients with excellence, which include but are not limited to:

  • Manages overall client experience to ensure each connection point is tailored to the individual client and they are genuinely cared for as they interact with Blue Trust
  • Communicates directly with clients directly in a professional manner than deepens client relationship
  • Manages all procedures and follow-up necessary to coordinate the creation and ongoing management of investment accounts (e.g., processing applications, deposits, withdrawals, transfers; collating and mailing Quarterly Investment Reviews; and generating various investment reports as needed).
  • Manages expense reporting process in a manner consistent with Finance procedures.
  • Delegates to and partners with our Centralized Administration team to serve clients with excellence.
2. Works in conjunction with Manager and team to initiate and organize meetings and respond to client inquiries regarding actions taken to accomplish goals including:
  • Manages an annual client service plan for each of the advisor teams clients, which includes scheduling meetings throughout the year, ensuring meetings are documented and action items are appropriately followed up on, and intentional client care is scheduled and implemented throughout the year
  • Greets team's visitor(s) or client(s) in a warm, welcoming manner.
  • Proactively plans for and responds to urgent needs.
  • Understands the financial planning philosophy and biblical basis upon which Blue Trust serves its client base.
  • Approaches work, interactions and relationships in a manner consistent with the company's Core Values.
3. Provides administrative support to the Division and/or team in a manner consistent with service standards, including:
  • Executes all functions necessary to maintain accurate electronic records and database of prospect and client information in accordance with compliance guidelines and regulations, including maintaining well indexed and up-to-date electronic file systems for correspondence, reports and reference material, and confidential and non-confidential material.
  • Gathers, records, and processes pertinent information from clients or financial institutions for record maintenance or further analysis by other team members.
  • Effectively utilizes CRM and DMS systems to maintain records in an accurate, up-to-date manner.
  • Answers incoming calls and emails in a professional manner, providing routine information or referring to the appropriate team member when needed.
  • Processes incoming and outgoing mail efficiently.
4. Monitors and orders office supplies as needed within budgetary guidelines, maintaining positive relationships with vendors and service representatives to support the goal of office efficiency.
5. Assists in logistics for all events including logistics planning, vendor management, marketing, and operational day of support.
6. Supports and completes special company-wide projects in accordance with prescribed standards and guidelines.
7. Maintains the highest Compliance standards by adhering to the company's Human Resources guidelines, Compliance policies, professional designation standards, and our industry's regulatory standards to mitigate risk to the company.

Education, Experience & Skills:
  • Bachelor's degree is preferred.
  • Prior experience in client service, customer service, or office management is preferred.

A reasonable estimate of the current range is $27.40 to $33.65 per hour with benefits
This job description is for our Chicago Office only and the salary range listed above is specifically related to the cost of labor for this area. Any offered salary is determined based on internal equity, internal salary ranges, applicant's skills and prior relevant experience, and certain degrees and certifications. The range is provided in good faith. We may ultimately pay more or less than the posted range. This range may be modified in the future.
