Executive Assistant to the President & CEO

At E.L. Productions Ltd. (ELP), we have partnered with major Canadian Brands to produce greatness for over 30 years. Canada's premier event producers, we work with industry leaders and innovators to imagine, develop, and deliver exceptional experiences both virtual, live and beyond. We build experiences that make connections, shift thinking and inspire action.

We are currently looking for an Executive Assistant to join our expanding team.

Does this sound like you?

  • I love bringing order to complexity, creating structure that allows leaders and teams to focus on what matters most.
  • I anticipate needs before they arise, solving problems proactively and keeping priorities moving without needing to be asked.
  • I build trusted relationships through thoughtful communication, sound judgment, and exceptional discretion.
  • I thrive in fast-paced environments where no two days are the same, balancing executive priorities, workplace coordination, and special projects with calm confidence.
  • I take pride in creating exceptional experiences; whether it's preparing an executive for an important meeting, welcoming a guest into the office, or making sure every detail is thoughtfully considered.

About The Role

The Executive Assistant is responsible for creating the capacity that enables the President & CEO to lead with focus, intention, and impact. By bringing structure, organization, and momentum to both professional and select executive personal priorities, this role ensures commitments are honoured, priorities move forward, and leadership time is invested where it matters most.

Working closely with the President & CEO and leaders across the organization, this role anticipates needs before they arise, removes barriers, strengthens relationships, and creates the conditions for exceptional leadership and organizational success. As the trusted partner to the President & CEO, you'll also help create a welcoming, organized, and high-performing workplace that reflects ELP's culture and values.

As an Executive Assistant, you will:

  • Manage the President & CEO's calendar, priorities, travel, meetings, and executive logistics with thoughtful planning and exceptional organization.
  • Prepare executive briefing materials, coordinate communications, and ensure the President & CEO is well prepared for key meetings, presentations, and decisions.
  • Track priorities, action items, and strategic initiatives, following up across the organization to ensure commitments are delivered.
  • Build trusted relationships across the company while supporting executive communications, recognition, and key relationship touchpoints.
  • Coordinate select executive personal priorities that support overall effectiveness, exercising professionalism, discretion, and sound judgment.
  • Develop systems, trackers, and processes that improve organization, simplify work, and create capacity for leadership.
  • Support the day-to-day operation of the office, helping create a welcoming, organized, and productive workplace for employees and guests.
  • Independently execute delegated initiatives, solve problems proactively, and anticipate needs before they become challenges.

Are you the one we are looking for?

The ideal candidate for this role will have:

Skills/Strengths

  • Exceptional organizational skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Strong judgment, discretion, and professionalism when working with confidential information and executive priorities.
  • Outstanding written and verbal communication skills with the ability to represent the President & CEO with confidence and care.
  • Highly proactive with the ability to anticipate needs, remove barriers, and keep work moving forward.
  • Strong relationship builder who creates trust across employees, clients, and partners.
  • Systems thinker who enjoys creating structure, improving processes, and finding better ways of working.
  • Adaptable, resourceful, and calm under pressure in a fast-paced environment.

Education/Experience

  • 5+ years supporting a CEO, President, or senior executive in a fast-paced environment.
  • Proven experience managing complex calendars, executive priorities, travel, and confidential information.
  • Experience coordinating projects, executive communications, and cross-functional initiatives.
  • Experience supporting both executive and select personal priorities with professionalism and sound judgment.
  • Experience in professional services, agency, events, or client-focused environments is an asset.
  • Experience supporting founders, entrepreneurs, or executive leaders is an asset.
  • Post-secondary education in Business Administration, Office Administration, Communications, or a related discipline is an asset.
