We are seeking a Resource Coordinator to join our team at one of our 13 office locations, hybrid, or remotely!
The Resource Coordinator is responsible for maintaining accurate staff schedules to support timely completion of client work and optimal utilization of Firm resources. This role creates, updates, and monitors schedules within the Firm's scheduling software and may coordinate staff assignments across multiple service lines. The Resource Coordinator supports workflow efficiency by ensuring that scheduling decisions reflect staff availability, skillsets, and Firm needs.
What your day looks like:
General Duties and Responsibilities
- Maintains Firm confidentiality.
- Follows Firm policies by conforming to the procedures outlined in the Employee Handbook.
- Develops an understanding of the Firm's vision, plan, and strategies and their role in achieving them.
- Works sufficient hours needed to complete assigned responsibilities.
Specific Duties and Responsibilities
- Creates, plans, and updates staff schedules within the Firm's scheduling software with direction from the Resource Manager.
- Reviews schedules continually for open time, unscheduled jobs, conflicts, and required follow-up action.
- Monitors workflow progression and assigns additional resources as needed to maintain timeliness.
- Confirms schedules 3-6 months in advance.
- Updates lost clients in the scheduling software and removes associated scheduled time.
- Finalizes new hire setups in the scheduling software, ensuring appropriate time is reserved for training and onboarding.
- Adjusts available staff time to reflect percentage agreements and part-time statuses.
- Upon employee termination, reallocates work assignments.
- Updates staff skillsets in the scheduling software to ensure accurate matching of work.
- Matches client work to staff based on experience, industry/specialty, technical expertise, and geography.
- Aligns staff assignments to enhance engagement productivity and support staff development.
- Analyzes scheduling data and works with the Resource Manager to resolve staffing issues and concerns.
- Serves as a point of contact for staff regarding scheduling issues and assignment questions.
- Manages FPTO/PTO and CPE scheduling requests to maintain workflow and productivity.
- Understands staff productivity and adjusts schedules as appropriate.
- Participates in capacity planning and assists with reconciliations between scheduled time and budgeted time.
- Runs reports and provides support to the Resource Manager, Service Line Leaders, and Industry/Specialty Leaders as requested.
- Supports service line administration tasks as needed.
What you need for this role:
  • High School Diploma or GED required; Bachelor's degree in business administration or related field preferred.
  • 4+ years of management or coordination experience preferred.
  • Experience in a professional services firm preferred.
  • Intermediate to advanced Microsoft Office Suite experience.
  • Scheduling software experience strongly preferred.
  • Strong verbal and written communication skills.
  • Ability to work and communicate effectively with professionals at all levels.
  • Ability to work in a deadline-driven environment and manage multiple tasks with strong attention to detail.
  • Ability to work independently or collaboratively with administrative or management personnel.
  • Ability to maintain confidentiality.
  • Strong judgment and reasoning skills.
  • Ability to respond tactfully and professionally in high-demand situations.
  • Travel to regional locations may be required (less than 5%).

Pay Rate:
$60,000.00-$80,000.00
Actual compensation will be determined based on relevant experience, credentials, demonstrated skills, performance, and business need.
