Help Wanted – Bookkeeping Account Manager
We are an outsourced bookkeeping company seeking an experienced Account Manager to join our team.

Position Details

  • Part-time (20–30 hours per week)

  • Hourly pay

  • Remote with some client-facing support

Responsibilities

  • Maintain and update client bookkeeping transactions in QuickBooks (Online and Desktop): Enter and categorize daily transactions with accuracy, reconciling bank and credit card accounts to ensure financial data is current. Pull source information from bank feeds, client emails, uploaded/shared documents, payroll platforms (ADP, Paychex), and third-party programs. Verify invoices, receipts, and expense reports for completeness and compliance. Apply class coding where required, review for discrepancies, and resolve issues in collaboration with clients. Maintain well-organized digital records for reporting and audit readiness.

  • Generate client reports: Prepare weekly, monthly, and quarterly financial reports, tailoring the level of detail to each client’s needs. Provide clear summaries of cash flow, income, expenses, and profitability trends. Be proactive in identifying unusual activity, potential savings, or efficiency opportunities.

  • Year-end support for CPAs: Compile and provide accurate year-end reports, reconciliations, and supporting documentation. Serve as the point of contact for CPAs to answer bookkeeping questions and supply requested materials in a timely manner.

  • Regulatory and compliance filings: Process 1099s at year-end and assist with Workers’ Compensation and General Liability audits by gathering, reviewing, and submitting required documentation. Ensure compliance deadlines are met and records are accurate.

  • Client relationship management: Act as the primary point of contact for assigned clients. Answer bookkeeping-related questions, provide office support when needed, and maintain professional, ongoing communication to build strong, trusted relationships.

Qualifications

  • Required:

    • Proficiency in QuickBooks Online and Desktop, including class coding.

    • Experience with ADP and Paychex payroll reports.

    • Strong organizational skills with the ability to manage multiple clients and deadlines.

    • Self-motivated, detail-oriented, and able to work independently with minimal supervision.

    • Comfortable with Google Workspace, Dropbox, and OneDrive for document sharing and collaboration.

    • Demonstrated experience supporting clients across a variety of industries.

  • Preferred (a plus):

    • Experience with Clio, Prendio, Concur, AIA billing, or Sage100 (construction/contractor clients).

    • Notary certification.
