Job description

Eckerd College is currently seeking candidates for the position of Client Relations & Administration Specialist. This opportunity entails joining our dynamic Executive and Continuing Education team, situated at our waterfront property along the picturesque Boca Ciega Bay in St. Petersburg, Florida. In this role, you will deliver a seamless client and participant experience across all Leadership Development Institute (LDI) programs

As the Client Relations & Administration Specialist, you will coordinate end-to-end administrative services in support of LDI’s full suite of certificate programs. This role serves as a primary initial point of contact for clients, participants, faculty, and vendors, ensuring responsive service, accurate data management, and efficient program operations. The Specialist also maintains program data, processes orders, manages billing and invoicing, and key certification steps.

The role requires the incumbent to possess a professional demeanor and the ability to effectively manage relationships with a large base of clients as well as individuals. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Drive, Docs, Sheets, Forms), with the ability to quickly learn and implement new technologies and systems is essential to this position. The ideal candidate has the ability to manage simultaneous tasks and projects and meet deadlines with a high degree of accuracy.

The Client Relations & Administration Specialist must demonstrate attention to detail, resourcefulness, and commitment to confidentiality when managing sensitive information and institutional data.

Key Responsibilities

  • Serve as the primary point of contact for participant and client support, responding to questions about programs, products, registration, and the self-service portal while documenting and routing requests as needed. 

  • Maintain accurate participant, certification, and client records through daily data entry and updates in the website, Learning Management System (LMS), and program tracking systems. 

  • Coordinate program communications before and after trainings and certificate programs, ensuring information is accurate, timely, and consistent. 

  • Manage program registrations, enrollment tracking, cancellations, transfers, and payment requirements in accordance with established policies. 

  • Process product and program orders, including activating digital materials and assessments and coordinating shipment of physical materials. 

  • Support program logistics by coordinating certification assignments, preparing certificates, and organizing training materials and binders for distribution. 

  • Respond to participant and client inquiries related to registration, billing, compensation, program details, and general troubleshooting. 

  • Monitor enrollment and participant data, prepare reports, and identify issues or low enrollment concerns for follow-up. 

  • Prepare invoices, track payments, reconcile accounts receivable, and process compensation payments accurately and on schedule. 

  • Complete program close-out activities, including reconciliation, reporting, documentation, and record maintenance. 

  • Support daily operations by preparing proposals, contracts, travel estimates, and other administrative documents, while assisting with process improvements, training materials, and system updates.

  • Compile and distribute financial and client usage reports, tracking purchase history and key business metrics across monthly, quarterly and yearly intervals.

Qualifications

  • Bachelor’s Degree preferred; minimum of 2 years of administrative experience in a professional environment.
