Job description

Project Coordinator – National Accounts

Who you'll work with:

Join the powerhouse electrical distributor in the construction industry! At Loeb Electric, we're more than just a distributor—we are the driving force that keeps innovation illuminated and businesses powered. We pride ourselves on being dedicated to our values:

  • People: Encouraging the success of our people.
  • Trust: Building relationships among ourselves, customers, vendors & other partners.
  • Commitment: Continuously striving to deliver high-quality, measurable results.
  • Innovation: Providing ideas & solutions for our customers.

Project Coordinator – National Accounts

When a customer's lights go out or critical electrical equipment fails, they don't have time to wait — and neither do you. Join Loeb Electric as the person our national account customers count on to find the right part, fast, when something breaks in the field.

This isn't a role for someone who wants a predictable project plan. It's for someone who thrives on solving problems in real time — digging into spec sheets to find the right replacement for outdated technology, checking our own stock before anywhere else, and building the documentation that makes the next fire easier to put out. If you've got the tenacity to chase down a hard answer, the detail orientation to get it exactly right, and the customer instincts to keep people calm while you do it, we want to talk to you.

What you will be doing as a key player on our dynamic team:

  • Coordinate day-to-day execution of customer projects, managing orders, timelines, and material logistics within established processes.
  • Manage an active queue of customer requests, open orders, and project milestones, prioritizing work to meet deadlines and service expectations.
  • Enter quotes and orders accurately in ERP, ensuring pricing, fees, and documentation align with customer agreements.
  • Track project progress, material availability, shipping status, and delivery milestones, providing timely updates to internal teams and customers.
  • Communicate proactively with customers, vendors, and internal stakeholders regarding order status, changes, and next steps.
  • Coordinate with warehouse, logistics, purchasing, manufacturers, and sales teams to align material availability and delivery schedules.
  • Review customer material requests and documentation for completeness and accuracy, clarifying details as needed before processing.
  • Navigate ERP, project tracking tools, and client-specific portals to maintain accurate project data and records.
  • Identify execution issues, discrepancies, or delays and escalate appropriately with context and recommend next steps.
  • Support Senior Project Coordinators, Project Managers, and Team Leads by providing accurate execution updates and assistance as needed.
  • Build product knowledge and system proficiency through training, experience, and ongoing learning.
  • Contribute to a consistent customer experience through accurate execution, clear communication, and reliable follow-through.
  • Maintain professional relationships that reflect the company’s mission, values, and commitment to customer success.

Experience:

  • 2–4 years of experience in project coordination, operations support, customer service, or a related execution-focused role.
  • Experience managing active work queues, orders, or customer requests in a fast-paced, deadline-driven environment.
  • Demonstrated experience coordinating across internal teams such as Sales, Purchasing, Logistics, Warehouse, or Operations.
  • Experience working within structured processes, documenting work accurately, and escalating issues appropriately.
  • Experience interacting directly with customers, vendors, or manufacturers to provide updates and resolve execution-related questions.
  • Background in electrical distribution, lighting, construction, facilities, or trade-adjacent environments preferred.

Core Competencies:

  • Execution Coordination: Ability to manage day-to-day project execution activities, including orders, timelines, and material logistics, within defined processes.
  • Queue & Priority Management: Strong ability to manage multiple active requests simultaneously, prioritize work, and meet service and delivery deadlines.
  • Customer Communication: Professional communication skills with the ability to provide clear status updates, clarify requests, and manage routine customer interactions.
  • Systems & Data Accuracy: Ability to navigate ERP systems, project tools, and customer portals while maintaining high standards of data accuracy and documentation.
  • Issue Identification & Escalation: Ability to recognize execution risks or discrepancies and escalate issues with context and recommended next steps.
  • Financial Accuracy Awareness: Understanding of pricing, fees, and customer-specific agreements, with the ability to validate data and flag discrepancies.
  • Collaboration & Reliability: Ability to work effectively with cross-functional teams and contribute to consistent, dependable execution outcomes.

Education, Certifications & Technical Skills:

  • Associate or Bachelor’s degree in Business, Operations, Construction Management, Supply Chain, or a related field.
  • Electrical trade experience, construction experience, or field-based industry experience is valued and may strengthen execution judgment.
  • Demonstrated experience operating in a professional office environment using structured systems, documentation, and workflows.
  • Proficiency with Microsoft Office (Excel, Outlook, Word).
  • Working knowledge of ERP systems, project tracking tools, and client-specific web portals used to manage orders and project data.
  • Exposure to project management coursework, CAPM, or similar certifications is a plus.

Equivalent combinations of education, certifications, and professional experience will be considered.

Essential Job Functions:

  • Lifting/Carrying: Occasionally required to lift and carry office materials, files, or supplies weighing up to 20 pounds.
  • Sitting/Standing/Walking: Prolonged periods of sitting at a desk using a computer; occasional standing, walking, or moving between departments.
  • Reaching/Handling: Regular reaching, grasping, and handling of office materials; frequent use of hands and fingers for keyboarding, writing, and operating office equipment.
  • Vision: Specific vision abilities include close vision and the ability to adjust focus, necessary for reading documents, using a computer, and reviewing order details.
  • Hearing/Speaking: Ability to communicate clearly and effectively in person, by phone, and in virtual meetings with customers and team members.
  • Environmental Conditions: Work performed primarily in a professional office environment; occasional exposure to warehouse or other company facilities.
