Position Summary:

The Project Coordinator is a vital part of our team, responsible for managing the full order fulfillment cycle-from initial order entry to final project completion. This dynamic, fast-paced role demands keen attention to detail, strong communication, and top-notch organizational skills. Success in this role requires the ability to juggle multiple priorities, adapt quickly, and confidently navigate a variety of digital platforms.

Essential functions of the position:

  • Coordinate input from internal team members to generate, format, and send accurate client proposals.
  • Review, organize, and prepare all required documentation to ensure precise and timely order entry.
  • Source and procure project materials, coordinating timely delivery and installation logistics.
  • Monitor project progress, troubleshoot issues, and manage punch list resolution to ensure successful, on-time completion.
  • Serve as a key point of contact, communicating directly with vendor partners and clients while supporting internal teams throughout the project lifecycle.
  • Investigate and reconcile discrepancies across purchase orders, vendor acknowledgments, and invoices.
  • Resolve material-related issues, including product discrepancies, shortages, damages, and quality concerns.
  • Track material orders proactively, identify potential delays, and escalate concerns to Sales and Project Managers as needed.
  • Ensure compliance with departmental policies, procedures, and industry standards.

Required Education and Experience:
  • Minimum of two years' experience in a fast-paced, multi-tasking, detail-oriented administrative position
  • Associate degree or equivalent experience in business, interior design or another related field.

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Excellent verbal and written communication skills
  • Excellent time management, organizational skills, and attention to detail

Physical Requirements and Working Conditions:

  • Work will be performed in a combination of office settings, client sites, construction environments and active job sites. Regular travel to our office locations, customer locations and vendor facilities within the region is required.
