Boutique Wealth Management Firm  |  Austin, TX  |  Hybrid  |  $45,000 - $65,000

ABOUT THE FIRM

We are a boutique, fiduciary wealth management firm serving successful families, business owners, and professionals through multi-generational financial planning strategies integrating investments, insurance, tax planning, and estate planning. Our team is small by design, and every person we hire directly impacts the quality of service our clients receive.

THE OPPORTUNITY

This is a planning operations role, not a call center or sales position. You will work alongside our CFP founder supporting life-changing financial decisions for real clients, part client service, part financial analysis, part operational leadership. We are looking for a self-directed mid-level professional who absorbs new processes quickly, takes full ownership of their responsibilities, and holds themselves to a high standard of accuracy and professional follow-through.

WHAT YOU'LL DO

Client Services

  • Serve as primary point of contact for client inquiries and appointment coordination.
  • Prepare client files, meeting materials, and review packets for all advisor appointments.
  • Manage proactive client outreach including annual review scheduling and follow-up correspondence.

Financial Planning Operations

  • Support the financial planning process using eMoney, Salesforce, and Microsoft Excel.
  • Process and track applications for investment accounts, life insurance, long-term care, and related products through completion.
  • Maintain accurate CRM records, activity logs, and client data; coordinate with carriers and underwriting on open cases.

Operations & Practice Growth

  • Build and refine workflows, checklists, and SOPs that create a consistent, compliant client experience.
  • Ensure all client communications meet compliance standards and are reviewed appropriately prior to distribution.
  • Assist with marketing campaigns, client events, and onboarding of future team members.

WHAT WE'RE LOOKING FOR

  • Bachelor's degree preferred (Finance, Accounting, Economics, or Business); Associate's degree or equivalent experience considered.
  • 2-3 years of experience in financial services, wealth management, insurance, operations or professional services preferred; may substitute for degree.
  • Proficiency in Microsoft Excel / Office Suite, Slack, Zoom; familiarity with Salesforce, eMoney, Envestnet, or Morningstar preferred.
  • Exceptional attention to detail, high personal accountability, and proactive communication by phone, email, and written correspondence.
  • Analytical mindset with the initiative to solve problems independently and the discretion to handle sensitive client information.
  • Life & Health Insurance License (Texas) preferred; not required at hire.

COMPENSATION & BENEFITS

  • Base salary: $45,000 - $65,000 annually, commensurate with experience.
  • Performance-based increases and discretionary annual bonus potential.
