Client Intake Assistant information

What is a client intake assistant?

Client Intake Assistants are administrative professionals who serve as the first point of contact for new clients in organizations such as law firms, medical offices, or social service agencies. They are responsible for gathering and verifying client information, explaining services, scheduling appointments, and ensuring all necessary documentation is completed accurately. Their role is crucial in creating a positive first impression and streamlining the onboarding process for clients. Client Intake Assistants also help ensure compliance with privacy and confidentiality standards.

What are the key skills and qualifications needed to thrive as a client intake assistant, and why are they important?

To thrive as a Client Intake Assistant, you need strong organizational abilities, attention to detail, and familiarity with client management processes, often supported by a high school diploma or associate degree. Proficiency with customer relationship management (CRM) software, data entry systems, and office productivity tools is typically required. Excellent communication, active listening, and a friendly, professional demeanor help you build rapport and accurately gather client information. These skills ensure efficient, accurate client onboarding and a positive first impression for your organization.

What are some common challenges faced by a client intake assistant, and how can they be addressed?

Client Intake Assistants often encounter challenges such as managing a high volume of inquiries, accurately collecting sensitive information, and maintaining clear communication between clients and the team. Staying organized with digital tools and checklists can help ensure information is not lost or overlooked. Additionally, developing strong interpersonal skills and keeping up-to-date with the latest intake protocols can help streamline the process and provide clients with a positive first impression of the organization.

Job description

Client Intake Specialist – 9/11 Victim Compensation Fund

Location: Hauppauge, NY (on-site; occasional remote possible after training)
Schedule: Full-time, Mon–Fri (occasional OT)
Compensation: $50,000.00-$55,000.00 annual+ OT eligible; benefits (health/dental/vision, PTO, 401(k)

About the Role

Hansen & Rosasco, LLP is seeking an exceptional Client Intake Specialist to join our team helping individuals and families affected by the September 11th terrorist attacks.

Many of the people who contact our firm were exposed to toxins after 9/11 and have since developed cancer or other serious illnesses. They are often trying to understand whether they may qualify for compensation through the September 11th Victim Compensation Fund (VCF) and whether they should hire an attorney to help them.

You will often be the first person from our firm they speak with.

We are looking for someone who can combine compassion, intelligence, excellent telephone communication skills, and the ability to confidently convert qualified prospective clients into clients of our firm.

This is not a receptionist position, and it is not a high-pressure call-center sales job.

It is a relationship-based intake and consultative sales position in which earning a prospective client's trust is essential.

What You'll Do
  • Speak by telephone with prospective clients who have contacted our firm about potential 9/11 claims.
  • Conduct thoughtful intake conversations, typically lasting 15–20 minutes.
  • Listen compassionately to people discussing cancer, serious illness, 9/11 exposure, and sometimes the loss of a loved one.
  • Ask questions to help determine whether a prospective client may qualify for the VCF.
  • Explain the VCF process and our firm's services clearly and confidently.
  • Build rapport and establish trust quickly.
  • Explain why retaining an experienced law firm may benefit the prospective client.
  • Ask qualified prospective clients to retain our firm.
  • Professionally handle questions and objections such as "Why do I need an attorney?", "I want to think about it," or "I'm speaking with another law firm."
  • Arrange for retention paperwork to be sent to prospective clients and explain how to complete and return it.
  • Consistently follow up with prospective clients until they make a decision and, when they retain us, ensure their paperwork is returned.
  • Accurately document conversations and follow-up activity in our case-management/CRM system.
  • Work closely with our Intake Supervisor, attorneys, and other members of the firm.
Who We're Looking For

You do not need previous experience with the 9/11 Victim Compensation Fund. We will teach you the program.

We are looking for someone with the natural ability to connect with people, communicate confidently, and earn their trust.

The strongest candidates will be:

  • Warm, compassionate, and genuinely interested in helping people.
  • Exceptional communicators with a strong telephone presence.
  • Excellent listeners who ask thoughtful questions.
  • Intelligent and able to learn detailed rules and explain complicated information simply.
  • Persuasive and confident without being pushy.
  • Comfortable asking for the business and closing.
  • Persistent with follow-up and unwilling to let good opportunities simply fall through the cracks.
  • Organized and disciplined about tracking calls, paperwork, and next steps.
  • Comfortable being measured on client-retention and conversion results.
  • Competitive and goal-oriented while remaining compassionate and professional.
  • Able to use good judgment and recognize when an attorney or supervisor should become involved.
You May Be a Great Fit If You Have Experience In:
  • Plaintiff-side personal injury or mass-tort intake
  • Legal intake or client relations
  • Oncology or healthcare patient navigation
  • Hospital or medical-office patient services
  • Healthcare admissions
  • Insurance claims or disability benefits
  • Workers' compensation or Social Security Disability
  • Client relationship management
  • Financial or professional services
  • Inside sales or consultative sales involving complex services

Prior law firm experience is helpful but is not required.

If you have been successful in a position where you needed to listen to someone's needs, explain a complicated service, establish trust, overcome concerns, and ultimately ask that person to choose your organization, we would like to hear from you.

This Is Not Cold Calling

The people you will speak with have already contacted or been referred to our firm because they are interested in learning about potential 9/11 benefits or legal representation.

Our Intake Specialists do not pressure people into hiring us.

Instead, we believe the best way to earn a client's business is through knowledge, compassion, credibility, excellent communication, and appropriate persistence.

What Success Looks Like

At the end of a great intake conversation, the prospective client should think:

"This person understands what I'm going through. This firm knows the 9/11 program. I trust them to help me."

Your job is to create that experience — and then confidently ask the prospective client to choose our firm.

Qualifications
  • Excellent verbal and written communication skills
  • Outstanding telephone presence
  • Strong interpersonal and relationship-building skills
  • Strong organizational and follow-up skills
  • Ability to learn and retain detailed information
  • Comfortable discussing cancer and other serious illnesses
  • Comfortable with performance goals and accountability
  • Strong computer skills and ability to learn case-management/CRM technology
  • Dependable, professional, and detail-oriented
  • Legal, healthcare, insurance, client-service, or consultative-sales experience preferred
Why Join Hansen & Rosasco?

This position offers something unusual: the opportunity to combine meaningful work helping members of the 9/11 community with client relationships and consultative sales.

We provide extensive training regarding the 9/11 Victim Compensation Fund and ongoing support from experienced intake professionals and attorneys.

If you are someone who cares deeply about people, communicates exceptionally well, enjoys winning people's trust, and knows how to close, we encourage you to apply.
