Job description

CLIENT EXPERIENCE & SCHEDULING COORDINATOR

RoofMasters is seeking an organized, professional and highly responsive Client Experience & Scheduling Coordinator to manage new customer inquiries and create a smooth experience from the first phone call through the scheduled roof inspection.

This is a key position within our company. You will be responsible for turning incoming inquiries into qualified appointments while ensuring every customer receives prompt communication and a clear next step.

KEY RESPONSIBILITIES

  • Answer incoming calls, emails, website requests and text messages
  • Respond to new leads promptly and professionally
  • Ask qualifying questions and collect accurate project information
  • Schedule roofing inspections based on location, urgency and inspector availability
  • Confirm appointments and follow up on cancellations and no-shows
  • Maintain accurate customer information, notes and tasks in JobNimbus
  • Follow up with customers after proposals are delivered
  • Track open estimates and make sure no opportunity is forgotten
  • Coordinate communication between customers, inspectors and the production team
  • Assist customers with general questions, financing information and next steps
  • Request customer reviews after completed projects
  • Escalate urgent service requests or customer concerns to the appropriate manager
  • Provide management with accurate lead, appointment and follow-up reporting

WHAT SUCCESS LOOKS LIKE

  • New leads receive a response within five minutes during business hours
  • Every qualified lead is scheduled or given a documented next step
  • Appointments are accurately scheduled and confirmed
  • Customer information is complete and current in JobNimbus
  • All open proposals receive consistent follow-up
  • Customers receive professional and dependable communication
  • Inspectors have full, organized and efficient schedules

QUALIFICATIONS

  • Customer service, scheduling, inside sales or administrative experience preferred
  • Excellent telephone and written communication skills
  • Friendly, confident and professional when speaking with customers
  • Highly organized and able to manage multiple priorities
  • Strong attention to detail and consistent follow-through
  • Comfortable making outbound follow-up calls
  • Able to follow established systems and work independently
  • Experience with CRM software is preferred; JobNimbus experience is a plus
  • Roofing or construction experience is helpful but not required

COMPENSATION AND BENEFITS

  • $45,000–$55,000 annually, based on experience
