Executive and Personal Assistant

What You Will Be Doing:
The Executive Assistant will provide high-level professional and personal support to a C-level executive, helping create an organized, efficient day-to-day environment. This role is ideal for someone who genuinely derives energy from making other people's lives easier and takes pride in anticipating needs, solving problems, and creating exceptional experiences.
No two days will look exactly the same. The right person will be highly organized, resourceful, adaptable, and comfortable moving between traditional executive support, personal logistics, and special projects.
• Own calendar management across professional and personal commitments, proactively managing priorities, conflicts, and changes.
• Coordinate complex domestic and international travel, including itineraries, transportation, accommodations, and loyalty programs.
• Anticipate needs and prepare information, materials, logistics, and follow-up to make each day as successful as possible.
• Coordinate reservations, events, client entertainment, appointments, and other professional and personal logistics.
• Maintain strong relationships and communication with executives, employees, clients, vendors, and other important contacts.
• Support personal administrative needs, including organizing expenses, bills, budgets, renewals, and related information.
• Assist with coordination of household services, maintenance, and other logistics as needed.
• Research and solve problems creatively, looking beyond the obvious answer to find the best solution.
• Support internal and off-site meetings, and other executive initiatives.
• Assist with special projects using strong organizational, Excel, PowerPoint, research, and project-management skills.
• Look continuously for opportunities to improve organization, streamline processes, optimize resources, and make things easier.
• Adapt to a dynamic schedule, including occasional evenings, weekends, travel, or changing priorities when needed.

• Exercises strong judgment and knows when to act independently versus when to ask or escalate.
• Thoughtful with time and resources and naturally looks for opportunities to optimize.
• Comfortable with a role that combines executive support, personal support, and special projects.
• Motivated by responsibility, trust, learning, and the opportunity to support a highly dynamic executive.
• Relevant experience may come from executive support, hospitality, concierge or guest services, executive client services, household/estate management, or another high-touch service environment. Prior EA experience is valuable but is not the only path to success in this role.
• Proficiency with Outlook and Excel is required; PowerPoint skills and familiarity with complex travel planning and loyalty programs are strongly preferred.
