Job description

We are seeking a punctual and organized Client Services Coordinator to join our team. This role will primarily involve handling receptionist duties while also coordinating client files, particularly those involving legal proceedings. The ideal candidate will be honest, possess excellent phone and email communication skills, and obtain the ability to multitask effectively in a fast-paced environment. Attention to detail and respect for others are crucial for this role.


Responsibilities

  • Serve as the first point of contact for clients, visitors, and callers, providing a professional and welcoming atmosphere.
  • Manage incoming calls and inquiries, directing them to the appropriate personnel.
  • Schedule client appointments and maintain the appointment calendar.
  • Receive mail/deliveries and notify the appropriate personnel.
  • Coordinate client files related to legal proceedings, ensuring accuracy and confidentiality.
  • Organize and maintain electronic filing systems for client documents and correspondence.
  • Oversee and delegate tasks to the administrative assistant.
  • Assist with administrative tasks as needed.
  • Collaborate with internal teams to facilitate seamless client service delivery.
  • Uphold confidentiality and discretion in handling sensitive client information.


Qualifications

  • 3+ years (preferred) of previous experience in a receptionist or administrative role, preferably in a legal or professional services setting.
  • Familiarity with legal terminology and procedures is highly desirable.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office and Google Workspace. Tech-savvy.
