Client Services & Front Desk Associate

Are you someone who enjoys creating an excellent first impression, helping others, and keeping an office organized? Aevitas Law is seeking a professional, dependable, and service-minded Client Services & Front Desk Associate for our Willow Street office. Aevitas Law is part of Faithward Companies, a multidisciplinary legacy planning group, committed to serving clients with professionalism, ownership, and collaboration.

This position is the first point of contact for clients, visitors, and callers. The ideal candidate will combine warm hospitality with strong administrative skills and the judgment needed to work in a professional law firm environment.

In this role, you will:

  • Welcome clients and visitors and help create a comfortable, professional experience.
  • Answer and direct incoming telephone calls and respond to general inquiries.
  • Coordinate conference-room schedules and prepare meeting spaces.
  • Assist with incoming and outgoing mail, deliveries, copying, and document preparation.
  • Maintain an organized reception area, conference rooms, and client hospitality stations.
  • Monitor office and hospitality supplies and assist with replenishment and ordering.
  • Provide general administrative support for meetings, client communications, events, and special projects.
  • Communicate promptly and professionally with clients, attorneys, team members, and outside contacts.

We are looking for someone who:

  • Has experience in a professional office, administrative, receptionist, client-service, or similar role.
  • Communicates clearly and professionally by telephone, email, and in person.
  • Demonstrates excellent attention to detail, organization, and follow-through.
  • Is comfortable learning office technology, scheduling systems, and business software.
  • Handles confidential or sensitive information with professionalism and discretion.
  • Can manage changing priorities while maintaining a calm and welcoming presence.
  • Takes initiative and is willing to assist wherever needed.
  • Is dependable, punctual, and committed to providing excellent service.

Experience in a law firm or other professional-services environment is preferred but not required.
