Job description

Receptionist/Clerk for Special Services

As a Special Services Receptionist/Clerk, you will be the first point of contact for our staff and visitors. Your role is crucial in ensuring that every interaction is positive and professional. You will manage various administrative tasks while assisting our specialized services team in creating a welcoming atmosphere. The receptionist/clerk for special services will provide clerical support to assist with the efficient operation of the special service program. The clerk will work closely with the secretary of special services and respond to a wide range of requests in a manner that creates a positive first impression of Derby Public Schools.

The position is a Level 2 on the District Clerical hourly rate schedule. Pay is determined by years of applicable, paid experience, $15.78-$21.08/hr. Positions working more than 20 hours per week are considered full-time and will qualify for full benefits including health insurance, supplemental insurance options, medical and dependent flex spending accounts, and paid, accumulated sick leave. Eligible for 11-17 paid holidays depending on number of months on your regular schedule. Eligible for a free DRC membership for the employee. A $20,000 or $10,000 life insurance policy paid for by the district depending on full or part-time status. Positions working 12 months out of the year also accumulate paid vacation leave.

The receptionist/clerk for special services will report to the Director of Special Services. The classification of employment is non-exempt. The date of this job description is July 2019.

Qualifications:

  • High school diploma or equivalent.
  • Demonstrated typing and filing skills.
  • Experience as a secretary.
  • Experience in using various computers and computer applications.
  • Good oral and written communication skills.
  • Demonstrated commitment to continue career development and life-long learning.

Essential Functions:

  • Provide office and clerical support to assist with the efficient operation of the Special Services department.
  • Ensure that all activities conform to district guidelines.
  • Communicate effectively with patrons and staff of the school district.
  • React to change productively and handle other tasks as assigned.
  • Appropriately operate all equipment as required.
  • Ability to work with minimal supervision.
  • Ability to maintain confidentiality.
  • Support the value of an education.
  • Support the philosophy and mission of Derby Public Schools.
  • Comply with all district policies, rules and regulations.

Physical Requirements/Environmental Conditions:

  • Requires the ability to sit and/or stand for prolonged periods.
  • Requires the ability to stoop, bend, and reach.
  • Requires the ability to manually move, lift, pull or push heavy objects or materials.
  • Must work in noisy and crowded environments.
  • Requires regular attendance and/or physical presence at the job.

General Responsibilities:

  • Screen visitors and telephone calls, directing them to the appropriate person/department in a professional and efficient manner.
  • Screen and route incoming mail.
  • Type, and copy correspondence, reports, bulletins, records, newsletters, handbooks, records and other materials.
  • Assist in scheduling and responding to questions regarding early childhood screenings.
  • Assist in maintaining a current list of all special services paraprofessionals, substitute paraprofessionals, and certified staff.
  • Help process inservice paperwork for the paraprofessionals and document the number of inservice hours credited.
  • Be prepared to respond to questions from paraprofessionals (including substitutes) regarding upcoming inservices available, and inservice points accrued.
  • Make copies of requested materials/records sent internally and externally.
  • Assist with faxing documents and disseminating information to the correct personnel.
  • Adhere to all district health and safety policies.
  • Other duties as assigned by the Director of Special Services which are consistent with the general requirements and qualifications of the position.
