Position: Secretary in the Elementary School- 11 months
The Long Prairie-Grey Eagle School is looking for an energetic Secretary at our Elementary School. We are a small school located in central Minnesota. We are a hours drive from St. Cloud, 2 hour drive from the Twin Cities, 30 minutes from Alexandria, and 3 hours from Duluth. We are surrounded by area lakes, parks, and have one of the last Drive-In Movie theatres in Minnesota. We have a diverse community consisting of European, Mexican, Caribbean, and other nationalities. Fifty two percent of our student population identifies as Hispanic. Todd County is also home of an active Amish population. We serve the communities of Grey Eagle, Burtrum, and Long Prairie.
This position provides clerical and administrative support to the elementary school principal and staff. This ensures accurate and timely reporting for STAR, Civil Rights, Minnesota Common Course Catalogue, Disciplinary Incident Reporting, and ED-FI data. Manages student enrollment and withdrawals, maintains special education state reporting for Pre-K to 6th grade students including shared time students. The position requires attention to detail, confidentiality, and ability to manage multiple tasks.
Data Reporting and Compliance
  • Prepare data and submit STAR reporting data in accordance with state guidelines.
  • Complete and submit Civil Rights data reporting in compliance with federal requirements.
  • Maintain and update information for Minnesota Common Course Catalogue
  • Maintain accurate student records in Skyward for Pre-K to grade 6 including shared time students.
  • Report student disciplinary incidents to the Minnesota Department of Education that meet submission requirements.

Student Enrollment and Records Management
  • Process new student enrollments and ensure documentation is collected.
  • Process kindergarten registrations and ensure early childhood screenings.
  • Maintain student withdrawals, ensuring records are updated and forwarded as needed.
  • Maintain special education data records in the student system while maintaining confidentiality.
  • Track Average Daily Membership data to report to the Superintendent.
  • Distribute report cards each grading period.
  • Collect and distribute summer school and BOLT program registration forms.
  • Ensure all English Language Learners are reported correctly for MN State Reporting.
  • Setup gradebook and scheduling in student records.
  • Begin future scheduling in January by setting up the calendar, cloning course, section meets.
  • After scheduling is complete, assign students into classrooms

Administrative Support
  • Assist the principal with daily administrative tasks, scheduling, and correspondence.
  • Communicate with staff, parents, and district personnel regarding student records and reporting requirements.
  • Schedule use of the principal's conference room.
  • Ensure substitute teachers and paraprofessionals are placed in classrooms and positions where they are needed the most. Assign staff from within if need additional cover.
  • Compare and update time-off between Red Rover, SMARTeR, and substitute sign in forms for time-off and staff coverage. Contact staff if they do not enter time absent into SMARTer.
  • Setup for Awards Program at end of year and create certificates as needed.
  • Edit Parent/Student Handbook and Staff Handbook each year.

Office Management
  • Use the Aiphone system to monitor entry into the school building.
  • Assign conference times for parent-teacher conferences three times a year.
  • Contact the bus company to communicate student transportation changes.
  • Count incoming money from teachers, fundraiser, and as needed ensuring proper documentation and deposit procedures.

  • Oversee copy machines, including troubleshooting, maintenance requests, and supply ordering.
  • Distribute incoming mail to appropriate staff members. In summer I also do outgoing mail.
  • Order office supplies and teaching staff including all construction, color and white paper to have available as needed for all K-6 staff use.
  • Set up Kindergarten Registration and prepare forms needed from parents.
  • Organize and schedule student pictures and bus safety. Schedule times.
  • Schedule translators for all events needed.
  • Assign lockers to students in grades 1-6.
  • Control, distribute, and collect school keys for staff and coaches.
  • Do work orders to custodians as needed.

Communication
  • Serve as contact person for staff, parents, and district personnel regarding student records, reporting, and administrative matters.
  • Provide parents with proof of enrollment when needed.
  • Support school events and administrative projects as assigned.
  • Set up meal catering for parent-teacher conferences.
  • Contact bus company to communicate student transportation changes.
