Job Summary:

Under close supervision, this position provides comprehensive administrative support to the Claims function by coordinating communications, maintaining files, and ensuring data accuracy across internal and external systems. This role processes incoming and outgoing payments, submits required reporting, and obtains external documentation. The incumbent contributes to departmental operations by participating in special projects, procuring supplies, and preparing documentation for internal analysis.

Job Description:

Key Responsibilities:

  • Receive, screen, and route incoming phone calls, electronic mail, and physical mail to the appropriate internal teams or external parties
  • Provide administrative and operational support to the Claims function through scheduling appointments, meetings, and conference calls
  • Perform regular data management activities, such as data imports to claims systems and validating data accuracy to support reporting and compliance
  • Process incoming and outgoing checks, including, but not limited to, depositing checks, logging activities, and resolving missing/incorrect information
  • Process legal preservation requests and manage required documentation, assisting in locating and collecting related documents within systems as needed Request, obtain, and catalog external records (e.g., police reports) and supporting documentation required for claims investigations, settlements, and legal matters Manage medical reporting requirements, primarily Medicare and Medicaid, by tracking mandatory information and ensuring timely and accurate submission in accordance with regulatory standards
  • Administer vendor and invoice processes through creating and maintaining vendor profiles in accounting and legal systems, processing department-specific invoices, and filing vendor-related documentation for claims and settlements
  • Support departmental operations by preparing supporting documentation for monthly financial reporting, assisting with resignation settlements, procuring department supplies, and contributing to special projects as assigned

Qualifications:

Minimum Qualification:

  • High School Diploma or GED with up to 1 year of relevant experience, education, training, and/or military equivalent.

Compensation:

Factors which may affect starting pay within this range may include skills, education, experience, geography, and other qualifications of the successful candidate. This position may be eligible for annual bonus and incentives based on profitability or volumes in accordance with the terms of the Company's bonus and incentive plans, as applicable and in effect from time to time.
