Position Overview
Ultimate Staffing Services is actively seeking an Administrative Assistant to provide comprehensive support to a church Pastor in Maryland. This role involves managing schedules, communications, and ministry coordination while supporting church operations and congregational engagement. The ideal candidate is highly organized, proactive, and ministry-minded, thriving in a dynamic church environment. This is a hybrid role with occasional Sunday support required.
Responsibilities
Executive Support for the Pastor

  • Manage and maintain the Pastor's calendar, appointments, and scheduling priorities.
  • Coordinate travel arrangements, itineraries, and logistics for conferences, ministry events, and speaking engagements.
  • Schedule and coordinate meetings with ministry leaders, church members, and external organizations.
  • Screen and prioritize phone calls, emails, and other communications.
  • Prepare materials, agendas, and information needed for meetings, events, and presentations.
  • Serve as an administrative point of contact on behalf of the Pastor.
Church Operations & Ministry Coordination
  • Maintain and manage the church calendar to ensure alignment across ministries and events.
  • Coordinate communication and scheduling with clergy, ministry leaders, volunteers, and key stakeholders.
  • Help organize ministry initiatives, church programs, and special events.
  • Assist with church growth initiatives and community engagement efforts.
  • Support administrative processes, filing systems, records management, and membership databases.
Communications & Congregational Engagement
  • Communicate important information to the congregation through various channels.
  • Update and maintain church website content and event information.
  • Assist with church announcements, newsletters, event communications, and ministry updates.
  • Welcome visitors and guests, ensuring a positive first impression.
  • Coordinate visitor follow-up and connection opportunities.
  • Support networking and relationship-building efforts within the church community.
Sunday & Event Support
  • Provide onsite support during select Sunday services and special church events.
  • Assist with logistics, guest coordination, communications, and ministry needs.
  • Help ensure smooth execution of church services and activities.
Qualifications
Required
  • Previous experience in an administrative assistant, executive assistant, church administration, ministry support, or related role.
  • Strong calendar management and scheduling experience.
  • Experience coordinating meetings, events, travel, and logistics.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency with Microsoft Office, Google Workspace, calendar management tools, and web-based applications.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
Preferred
  • Experience working in a church, ministry, nonprofit, or faith-based organization.
  • Experience with simple website updates and managing digital communications.
  • Understanding of ministry operations and church culture.
