Job description

Job Title: Church Database & Systems Administrator (Ministry Platform)
Company: Ward Church (Northville, MI)
Job Type: Part-time (Non-exempt)
Work Location: On-site (with occasional remote as approved)

Job Overview
Ward Church is seeking a part-time Church Database & Systems Administrator to own and optimize our church management system (ChMS), Ministry Platform. You will support staff and ministry teams with configuration, reporting, training, documentation, and data integrity-helping us track engagement and strengthen discipleship pathways. You will also partner with our managed service provider (MSP) to coordinate day-to-day IT needs and ensure our technology is reliable, secure, and aligned with our mission.

This role is a great fit if you enjoy building simple systems, training and supporting users, and turning messy data into clear, actionable insight.

Key Responsibilities

  1. Ministry Platform Administration & Optimization
  • Serve as the primary administrator and subject-matter expert for Ministry Platform.
  • Maintain system configuration, security roles, permissions, and data structures.
  • Ensure data accuracy, consistency, and integrity across all ministries.
  • Build and maintain dashboards, reports, workflows, and automated processes.
  • Evaluate new features, updates, and plugins; recommend and implement improvements.
  • Troubleshoot issues and coordinate with Ministry Platform support when needed.
  1. Staff Training & Support
  • Leverage AI for the purpose of supporting users as they do ministry with our current systems.
  • Develop and deliver training for staff, volunteers, and ministry leaders.
  • Create clear, accessible documentation, SOPs, and quick-reference guides.
  • Provide ongoing coaching to help teams use Ministry Platform effectively for events, groups, giving, communications, and engagement tracking.
  • Serve as the first point of contact for ChMS-related questions and support needs.
  1. Process Development & Documentation
  • Map, document, and refine ministry workflows that rely on Ministry Platform.
  • Collaborate with ministry leaders to design processes that are efficient, consistent, and aligned with churchwide standards.
  • Maintain a centralized library of digital processes, policies, and training materials.
  1. IT Coordination & Vendor Management
  • Act as Ward Church's internal liaison to our managed service provider (MSP).
  • Coordinate support tickets, system upgrades, hardware lifecycle planning, and network maintenance.
  • Assist with onboarding/offboarding technology setup (accounts, permissions, devices).
  • Monitor IT asset inventory and ensure compliance with security best practices.
  • Support staff with basic troubleshooting and escalate issues appropriately.
  1. Cross-Ministry Collaboration
  • Partner with Communications, Group Life, Worship, NextGen, and other ministry teams to ensure Ministry Platform supports their goals.
  • Participate in cross-departmental planning for events, data needs, and technology improvements.
  • Provide insights and analytics that help ministries measure engagement and impact.

Director of Administration

Work Environment
This role is primarily on-site at Ward Church (Northville, MI), with occasional remote work as approved. Some evening or weekend support may be required for major events or ministry needs.

  • Experience in IT coordination, help desk support, or vendor management.
  • Familiarity with SQL, reporting tools, or workflow automation.
