Responsibilities

How will you make an impact?

The Envoy Compliance Manager reports to the Director of HR Operations and is responsible for maintaining legal and regulatory compliance with various federal and state regulations including pre-employment fingerprinting, Criminal History Record Check (CHRC) and Rap Back requirements.   

Responsibilities

  • Manages the tasks of the HR Compliance Team
  • Receives all paperwork associated with fingerprinting and maintains accurate records in database(s); frequently monitors and interprets results to determine a candidate's ability to proceed in the pre-employment process
  • Serves as the point of contact in providing guidance to hiring managers, Talent Acquisition Team, and various stakeholders within the organization regarding background checks
  • Audit and Monitors Rap Back subscriptions for compliance
  • Monitors I-9 completions
  • Maintains relationships with TSA, Airport Authority Boards, U.S. Customs and U.S. Postal Services; fax/scans US Custom results; and database entry
  • Assists in the preparation for governmental audits or inquiries from entities such as TSA, USPS, Child Support-Texas Attorney General, and USCIS
  • Stays abreast of changing TSA/USCIS/USPS regulations
  • Prepares correspondence for various state and or federal entities who request certain compliance data or company records
  • Prepares communications about regulatory changes as appropriate
  • Prepares and analyzes employee data required for TSA, USCIS, USPS compliance reviews state new hire reporting requirements, and compliance with United States Citizen and Immigration Services (USCIS), and E-Verify obligations
  • Ensures all record-keeping obligations are accurate, current, and available for internal, state, and federal inspections and/or audits
  • Prepares and delivers presentations to all levels of management
  • Conducts advanced analysis and standardize all data used for HR Compliance
  • Maintains complete confidentiality and diplomacy in all communications
  • Demonstrates effective organizational and planning abilities to handle competing priorities
  • Reviews completed Fingerprint Applications and checks for accuracy; Re-transmits fingerprints to the TSA Clearinghouse
  • Performs other related duties as assigned

  • Bachelor's degree from an accredited institution of higher education in Human Resources, Business, or related field
  • Knowledge of applicable Federal and State laws and regulations
  • Analytical skills necessary to interpret and apply policies, practices, procedures, and relevant regulations
  • Experience conducting research, analyzing information and data, and presenting findings in a clear and concise format
  • Excellent judgment with the ability to manage highly sensitive, confidential data and information
  • Strong written and verbal communication skills with the ability to effectively convey complex information to a wide array of audiences and to do so with appropriate sensitivity
  • Strong organizational and time management techniques with the ability to prioritize and complete work with firm deadlines
  • Excellent interpersonal skills, including demonstrated ability to listen well and demonstrate sensitivity to and respect for individual needs
