Positively Chiropractic is a well-established, busy, and growing multidisciplinary chiropractic practice looking for an experienced, dependable, energetic full-time Chiropractic Front Office & Billing Specialist to join our team.
We are a family-oriented practice that values excellent patient care, teamwork, professionalism, positivity, and creating a welcoming experience for every patient who walks through our doors.
This is an important position within our practice. The ideal candidate is organized, confident, detail-oriented, comfortable with chiropractic/medical insurance, and able to keep the office running smoothly while providing exceptional patient service.
What We're Looking For
Required:

  • Minimum 3 years of experience in a chiropractic or medical office

  • Chiropractic billing and/or insurance experience
  • Comfortable working in a busy, fast-paced environment
  • Strong organizational and multitasking skills
  • Excellent communication and customer-service skills
  • Positive, friendly, professional attitude
  • Ability to work independently and problem-solve
  • Dependable and willing to take ownership of responsibilities
  • Comfortable learning and efficiently navigating Eclipse EMR

  • Willingness to work 1–2 Saturdays per month

  • Ability to serve as the office closer (10AM - 6PM or 6:30PM) 

Primary Responsibilities
Patient Experience & Front Desk

  • Be the primary patient greeter and create a warm, welcoming environment
  • Answer phones with a friendly, positive, professional voice
  • Receive calls, schedule appointments, reschedule and cancel appointments
  • Check patients in and out
  • Collect payments for all services rendered
  • Send payment links when needed
  • Clearly explain patient balances and billing information
  • Serve as the primary patient liaison between patients, providers, and the office
  • Maintain accurate patient information and communication in the EMR
Scheduling & Patient Flow

  • Maintain accurate provider schedules and optimize appointment flow
  • Work toward keeping providers' schedules approximately 80% booked

  • Maintain and utilize the cancellation list
  • Help coordinate efficient patient flow throughout the office
  • Assist doctors and other providers with patient flow and office needs
  • Update schedules promptly based on phone calls, texts, emails, and voicemail messages
Insurance & Billing

  • Verify patient insurance benefits
  • Obtain claim authorizations and ensure referrals are obtained when required
  • Understand and communicate patient financial responsibility
  • Navigate Eclipse EMR efficiently to review balances and billing information
  • Send patient bills as needed
  • Assist with chiropractic billing and insurance-related responsibilities
  • Ensure accurate collection of payment for services rendered
Daily Office Operations

  • Complete and reconcile the Day Sheet

  • Check all emails, texts, Teams messages, and voicemail throughout the day
  • Before leaving each day, make sure all messages have been addressed and schedules updated appropriately
  • Upload X-rays into patient charts
  • Ensure required paperwork and identification are completed and collected
  • Maintain HIPAA compliance and patient confidentiality
  • Keep patient data current and accurate in the EMR
  • Purge/update data in Eclipse as needed
  • Keep front-office areas and personal work zone clean, organized and functioning efficiently
  • Assist other providers and staff whenever needed
Closing Responsibilities
As the office closer, you will be responsible for ensuring the practice is completely ready for the next business day, including:
  • Reconcile the Day Sheet
  • Confirm all payments and transactions are accurate
  • Review remaining emails, texts, Teams messages, and voicemails
  • Update schedules as necessary
  • Make sure patient communication has been addressed
  • Ensure the office is secure
  • Log out of all computers and systems
  • Make sure the office is organized and ready for the following day
Technology & Problem Solving
The successful candidate will become comfortable using our practice technology and systems, including:
  • Eclipse EMR

  • Hourmine

  • Zocdoc

  • Email and text communication systems
  • Insurance verification and billing platforms

Benefits
The following benefits are available to full-time employees after the initial three-month trial period:
  1. Paid Vacation: 2 weeks (14 days) of paid vacation per year.
  2. Paid Holidays: New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, Christmas Eve, and Christmas Day.
  3. Paid Sick Leave: 5 paid sick days per year. Additional sick leave after the 5 days have been used will be unpaid through the end of the year.
  4. Health Insurance Contribution: As Positively Chiropractic does not provide health insurance, full-time employees will receive $250 per month toward self-provided health insurance after 3 months of employment.
  5. SIMPLE IRA: After two year of employment, full-time employees may participate in the SIMPLE IRA plan through American Funds. The employer will match employee contributions up to 3% of each paycheck, subject to plan limitations.
  6. Pay Increase: A pay increase will be provided after successfully completing the initial three-month trial period.
