Job description

The Patient Dispatch Specialist is an individual contributor responsible for scheduling, rescheduling, and confirming patient demos and trainings for the field team. This role ensures timely and accurate coordination across all U.S. time zones. The Specialist will use a dispatch module and other tools to manage patient engagements and support operational efficiency.

Accountabilities & Responsibilities

  • Schedule and coordinate patient demos and trainings for field personnel using Salesforce and/or other tools.
  • Communicate with patients to confirm appointments, handle rescheduling, and manage cancellations.
  • Ensure accurate documentation of scheduling activities and patient interactions.
  • Collaborate with field teams to align scheduling with availability, geography, and patient needs.
  • Monitor dispatch workflows and escalate issues as needed.
  • Maintain HIPAA compliance and data integrity across all scheduling activities.
  • Other duties as assigned

Education & Experience
Required:

  • Associate's degree or equivalent experience in healthcare administration, business, or related field.
  • 2+ years of experience in scheduling, dispatch, or patient coordination roles.
  • Experience using CRM systems (Salesforce preferred).

Preferred:

  • Experience in healthcare or patient services environments.
  • Bilingual proficiency (Spanish preferred).

  • Familiarity with Salesforce or similar CRM platforms.
  • Commitment to HIPAA compliance and patient confidentiality.
  • Excellent written and verbal communication
