This highly diverse role will focus on assisting the day-to-day functions of our Chairman of the Board and President, with business and personal activities including Daily Sales support, day to day business and charitable organizations in which they are highly involved.  A core function of this position is providing direct sales support to the Chairman, including managing sales communications, following up with clients, and ensuring the Chairman’s sales activities are organized and executed effectively.  This individual will also serve as a key backup for the sales support team, stepping in to assist Sales Administrators and other team members as needed to maintain continuity of service.  This role requires patience, adaptability, and the ability to work comfortably alongside colleagues and stakeholders who may not be technology savvy, providing hands-on guidance and translating complex processes into simple, actionable steps.  This position must express professionalism, confidentiality, and the ability to assist in all aspects of the daily workload.  Detail oriented with the ability to manage deadlines.  Facilitation of Travel, both Domestic and Internationally, is critical as well as the ability to coordinate projects while working with a diverse and multi-functional team.  This individual must possess excellent listening, planning and use of technology to facilitate clear direction across the division.  

Key Responsibilities:

  • Provide direct administrative support to the Chairman of the Board, including calendar management, meeting coordination, travel arrangements, and expense reporting
  • Assist with agendas, presentations, reports, and meeting coordination for Board and executive meetings
  • Coordinate, book and logistics for trade shows, sales meetings, industry events and oversee all  personal event activities
  • Maintain confidentiality of sensitive executive and company information
  • Act as a liaison between the Chairman, Board members, senior leadership, and internal teams
  • Handle incoming communications, prioritize requests, and ensure timely follow-up
  • Maintain organized digital and physical filing systems
  • Support companywide events & initiatives and special projects assigned
  • Management of Office. Vending machines, office supplies assisting and leading office improvements from furniture to maintenance requests and follow through 
  • Works with Events Committee to assist in planning, coordinate and facilitate company led events
  • Provide direct sales support to the Chairman, including managing sales-related correspondence and follow-ups with clients, preparing quotes and sales documents, tracking open orders and opportunities, and ensuring the Chairman’s sales pipeline remains organized and moving forward 
  • Assist and guide colleagues, executives, and external stakeholders who may not be technology savvy; bridging the gap between technology and those who require additional support and or may require reporting in other formats to navigate and obtain information 
  • Identify opportunities to improve administrative, sales, and office workflows; serve as a key backup for all sales support functions, covering for Sales Administrators, other EA’s, and Project Managers to ensure uninterrupted service to the Chairman and clients

Education & Experience:

  • Minimum of bachelor’s degree (Business) and a minimum of five years relevant project management experience
  • Coordination, planning and follow through for team projects, export as well as individual and group travel both domestically and internationally.

  • Proven experience in an administrative, executive assistant, or office management role
  • Combines a hands-on, can-do attitude with the discretion and judgment needed to support executive-level priorities.
  • Must be able to report to office Monday – Friday
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • High level of initiative, professionalism, discretion, and attention to detail
  • Ability to deal with complex, confidential correspondences, and conversations with professionalism and tact.
  • Ability to professionally communicate on behalf of and with other executives.
  • High degree of organization, prioritization, problem solving and initiative.
  • Strong interpersonal skills and ability to communicate using both written and verbal communication with diverse work groups, including vendors, customers and internal Berje employees.
  • Team oriented, yet able to work independently.
  • Positive and professional manner, strong focus on detail, accuracy and accountability.
  • Capable of meeting deadlines and adapting to rapidly shifting priorities
  • Proficiency in MS Office (Outlook, Excel, SharePoint, etc.), ERP System, CRM & Other Technology; ability to serve as a resource and guide for colleagues and stakeholders who are not technology savvy, translating complex digital tools into simple, manageable steps
