Job description

Summary/Objective
The position of Spring Grove Funeral Home Receptionist is established to perform support and assistance to customers and staff at the Spring Grove Funeral Homes. We are a group of caregivers that are committed to supporting families and our community during difficult times. Our staff and team is passionate about the work we do and we are dedicated to honoring, celebrating and remembering every loved one with compassion, care and professionalism. Primary Duties:

Customer Service
  • Professional communication skills, both verbal and written
  • Interface with customers in-person, electronically and on the phone
  • Computer Proficiency with MS Office – Excel, Word, and Outlook
  • Administrative and Clerical support

Reception Desk – Spring Grove Funeral Homes
  • Answers all incoming calls and effectively direct callers to appropriate staff member within 3 rings, with the understanding there is a second person answering the overflow.
  • Takes accurate, clear, and concise messages for individuals when need arises.
  • Contacts appropriate staff or deliver message immediately.
  • Takes death notification calls from nurses, facilities and family members and ensures information is provided in a timely manner to our Funeral Directors amp; Transfer Team.
  • Answers routine questions associated with services, products, location directions, etc.
  • Utilizes a variety of systems and platforms to communicate and upload information, such as Microsoft Teams, Passare and Outlook.
General Responsibilities – Spring Grove Funeral Homes
  • Provides general administrative and clerical support to funeral home staff
  • Assists and directs walk-in visitors and customers on occasion if working in the business office
  • Provides back up assistance in the following areas:
  • Notifies staff members of appointments
  • Greets guests and directs them to services or events
  • Helps maintain an organized office area
  • Maintains a comfortable environment for client families, providing beverages or other amenities as needed
  • Receives and handles payments from families
  • Demonstrate a commitment to anticipating, understanding, and responding to both internal and external customer needs. Is sensitive to the unique needs of customers in the Death Care Industry
  • Maintain the reception area in a tidy and presentable condition
  • Maintain daily incoming and outgoing mail, postal deliveries, and package pickup
Clerical Support – Spring Grove Funeral Homes
Completes all tasks that are required including:
  • Proper recording of death calls
  • Professional and timely communication of information to the right sources
  • Accurate and timely entry into Funeral Home Daily Schedule
  • Follows opening and closing procedures including:
  • Review all calls that came in from the night before and route them appropriately, paying close attention to death notifications.
  • Update new death calls on the Funeral Home Calendar
  • Receives, sorts, and delivers incoming mail on rare occassion
  • Assists with clerical duties as needed, including copying, labeling, etc.
  • Manages cashbox
  • General knowledge of Spring Grove Family company employees, events, tours, products, and services.

Work Environment

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this position, the employee is regularly required to talk and/or hear. The employee frequently is required to sit; stand; walk; and reach with hands and arms. Required to lift up to 30 pounds. Repetitive motion includes answering phones daily.
Position Type/Expected Hours of Work
This is a full-time non-exempt position.
Business days and hours of work are:
• Monday through Friday, 8:00 a.m. to 5 p.m. (One Saturday a month 7:30 a.m. to 4 p.m.)
Travel
Local travel maybe required between campuses for support.
Required Education, Knowledge, Skills, Abilities and Experience
1. High School diploma or equivalent preferred.
2. Minimum one-year office or telephone reception work.
3. Great Customer Service Skills, must display a calm attitude.
