Job description

Join our team and play a critical role in delivering exceptional commercial lending support from approval through closing and funding.
We are seeking a detail-oriented and highly organized person for our Commercial Loan Operationsposition to support the documentation, closing, funding, and servicing of commercial loans. This position serves as a key partner to lenders, credit staff, borrowers, attorneys, title companies, and other stakeholders to ensure commercial loan transactions are processed accurately, efficiently, and in compliance with bank policies and regulatory requirements.
What You'll Do
Loan Coordination
  • Input and maintain loan data in the bank's loan origination and documentation systems, including Baker Hill or other applicable platforms.
  • Order, collect, and review required third-party due diligence items, including appraisals, property tax bills, title insurance, flood determinations and coverage, UCC searches and filings, environmental reports, equipment appraisals, and motor vehicle filings as applicable.
  • Obtain and verify supporting documentation needed to protect the bank's security interest, including insurance, purchase agreements, invoices, vehicle titles, serial numbers, VINs, legal descriptions, appraisal reviews, equipment information, and entity-related information, per CCF standard requirements.
  • Prepare and review settlement statements, payoff information, wire and disbursement details, and pre-close review items to ensure files are complete and accurate before closing.
  • Coordinate appraisal notices, appraisal receipt or waiver documentation, adverse action requirements, covenant waivers, HMDA reporting inputs, OFAC screening, and CLEAR/CCAP searches, as applicable.
  • Monitor timelines and follow up on outstanding items to support efficient movement of loans from approval through closing.

Closing, Funding & Loan Booking
  • Prepare commercial loan documents and modification documents for all commercial loan types in accordance with approval terms, collateral requirements, internal standards, policies, and applicable regulatory requirements.
  • Conduct verification and second-review procedures to confirm documentation accuracy, legal sufficiency, and readiness for closing.
  • Coordinate closings with internal stakeholders and external parties, including attorneys, title companies, and borrowers, to facilitate timely execution.
  • Book approved transactions accurately to the core system and process funding, disbursements, related fees, document uploads, and applicable system updates.
  • Send final documents to the appropriate parties, complete imaging and file retention steps, route post-closing documentation for processing, and track outstanding exceptions such as final title policies, recorded documents, and post-UCC searches.
  • Support ongoing servicing-related documentation, including payoffs, auto-renew timing, post-close actions, and exception resolution as needed.

Communication & Compliance
  • Serve as a point of contact for lenders, credit staff, borrowers, attorneys, title companies, and third-party vendors regarding documentation needs, loan status, closing conditions, final closing dates, and follow-up items.
  • Ensure loan files meet internal approval requirements, appropriate authority levels, documentation standards, legal requirements, regulatory requirements, bank policy requirements, and applicable state and federal banking laws prior to funding and booking.
  • Maintain complete, organized, and audit-ready loan files and processing logs.
  • Escalate documentation, collateral, compliance, or timing issues promptly to the appropriate leader or lender for resolution.
  • Researches and responds to customer, banker and other internal inquiries.
  • Creates, maintains, and updates SOPs as requested.
  • Performs other duties as assigned.

Must haves:
  • Associate's degree in accounting, finance, economics or related field.
    • Note: Two (2) years of directly related experience may be considered in lieu of the Associate's degree.
  • Two (2) years of experience in the financial services industry.
  • Two (2) years of experience working in loan processing.
