Position Overview:
Auxiliary Services is a state-funded program that provides a variety of services and/or materials to students attending private schools. As the fiscal-agent for all Catholic schools, the Diocese of Columbus is responsible for administering the program according to the guidelines established by the Ohio Department of Education (Section 3317.06 and 3317.024 of the Ohio Revised Code). The Auxiliary Services Department Specialist will be responsible for overseeing the day-to-day operations, ensuring compliance with ODEW and OCS guidelines and procedures, and assisting the Department Manager in maintaining accurate reporting.

  1. Must have knowledge of accounting principles and practices
  2. Must have excellent interpersonal communication skills

  4. Must have good record-keeping skills
  5. Must have computer skills necessary to learn and navigate SCView and META software
  6. Must have good quantitative analytical skills
  7. Must have ability to present oneself professionally
  8. Must have ability to prioritize and be flexible

Duties & Responsibilities:
  1. Receive requisition requests and grant approval in SCView software.
  2. Process purchase orders and ensure timely delivery of goods and services in collaboration with the Diocese of Columbus Central Purchasing Office.
  3. Ensure all purchase orders are compliant with guidelines established by the Ohio Department of Education and Workforce as well as the mission of the Office of Catholic Schools.
  4. Maintain accurate purchasing records and reports, including tracking expenses, receipts, and invoices.
  5. Provide schools with monthly updates of their account balances.
  6. Monitor budgets for purchasing, maintain inventory levels, and ensure cost-effective purchasing practices.
  7. Liaise with the Ohio Department of Education and Workforce, local ESCs, OCS staff, and our Catholic schools to ensure resources are effectively allocated and utilized.
  8. Coordinate consultation meetings with schools regarding the planning, budgeting, and use of auxiliary funds.
  9. Establish positive relationships with the Department of Education and Workforce, local ESCs, and vendors to ensure continued support and collaboration.
  10. Monitor and assess the impact of auxiliary services programs, recommending adjustments or improvements as needed.
  11. Other duties as assigned by the Department Manager.

Minimum of a Bachelor's degree in Business Administration, Communications or related field is required. Master's degree preferred. In lieu of a degree, two to four years of experience may suffice. Experience with government programs a plus. Prior work experience in an administrative position in Our Catholic Schools is also a plus.
