About the Role
Konare Law is standing up a new Case Monitoring Department to take ownership of matters sitting with a government agency awaiting action - freeing up attorney teams to focus on active legal work and making sure no pending case is ever missed. This is a brand-new team and a ground-floor opportunity for the right internal candidate to help shape how it runs.
As Case Monitoring Coordinator, you'd own a caseload of agency-pending matters end to end: tracking them, keeping clients informed, keeping MyCase records accurate, and knowing exactly when a case needs to come back to an attorney.
What You'll Do
Case Ownership
• Serve as the primary operational owner of matters in agency-pending status - USCIS, NVC/consular, Department of State, and a narrow set of Immigration Court matters strictly awaiting a decision
• Maintain an accurate inventory of dormant matters within your assigned agency track
• Flag matters that need attorney attention or escalation
Client Communication
• Send proactive case status updates to clients at least every 60 days, using firm-approved templates
• Respond to client inquiries the same business day where possible, always within 24 hours
• Follow the firm's intake script on every client contact to catch material changes needing attorney review
Agency Monitoring & Follow-Up
• Monitor pending matters before USCIS, EOIR (limited scope), DOS, NVC, and other agencies
• Track published processing times and flag matters running behind schedule
MyCase Administration & Data Integrity
• Upload agency correspondence within 24 hours of receipt; enter receipt numbers, priority dates, and case numbers with 100% accuracy
• Keep case notes and MyCase stages current and accurate at all times
Case Review
• Review every assigned matter on a recurring schedule, with a documented review at least once every 30 days
Interdepartmental Coordination
• Work with Legal, Docket, Retention, Finance, and Interpreter teams to keep cases moving
What We're Looking For
Required
• Minimum 3 years of immigration paralegal or case management experience (internal Konare Law experience in a related role counts toward this)
• Demonstrated fluency with MyCase
• Working knowledge of USCIS filing types, receipt notice interpretation, and portal navigation
• Strong written and verbal communication skills - clear, warm, client-facing, free of legal opinion
• Comfort with checklist-driven, documentation-heavy workflows
• Ability to work independently within clearly defined authority limits
Nice to Have
• Bilingual (English + Spanish preferred)
• Prior experience with NVC follow-up procedures
• Experience with client de-escalation and difficult-conversation protocols
