Job description

Burnside Law Firm, LLP is a personal injury law firm seeking an Intake Coordinator to serve as the first point of contact for prospective clients and to manage intake.

This role directly impacts firm growth and is responsible for prospective client communication. The right candidate is professional, organized, empathetic, and confident on the phone.


Schedule: Full-time, in-office (with some flexibility)


Key Responsibilities

 

Client Intake

  • Answer calls and respond to inquiries from potential clients
  • Gather intake information and screen cases based on firm criteria
  • Communicate clearly and compassionately with injured clients
  • Schedule consultations with attorneys
  • Explain next steps and expectations during early case stages

 

CRM Management

  • Maintain and operate the firm’s CRM system
  • Track leads from first contact through signed representation
  • Follow up with potential clients
  • Track lead sources and intake conversion rates
  • Experience with Go High Level a plus

File Setup

  • Conduct conflict checks
  • Open new client files in the firm’s case management system
  • Ensure accurate data entry and document collection
  • Prepare files for transition to paralegals and attorneys

 

Referrals

  • Refer matters the firm does not accept to outside attorneys
  • Maintain referral records

 

Qualifications

  • Strong phone and communication skills
  • Customer service or intake experience preferred
  • Proactive, organized, and detail-oriented
  • Strong technological skills
  • Comfortable using CRM and case management software
  • Calm, professional demeanor with emotional clients
  • Reliable and responsive
  • Medical intake experience and a familiarity with insurance claims

Compensation: $45-$55K base salary (based upon experience) with bonus opportunities available
