Paralegal/Legal Assistant

We are seeking an experienced, detail-oriented professional to serve in a hybrid Paralegal and Legal Assistant role, with a strong focus on litigation. This position supports attorneys throughout all stages of litigation and also provides high-level administrative assistance, requiring both legal knowledge and strong organizational skills.

Key Responsibilities

  • Assist attorneys with all aspects of litigation, including case management, research, drafting, discovery, and trial preparation.
  • Conduct factual investigations and legal research; prepare research memos, witness backgrounds, and expert reports.
  • Draft, review, and revise pleadings, discovery requests and responses, subpoenas, and other litigation documents.
  • Coordinate discovery efforts, including managing incoming and outgoing productions, reviewing for privilege, and preparing privilege logs.
  • Process and organize electronic and paper document productions; upload, label, and code documents using litigation support software.
  • Prepare deposition materials, including witness files, exhibits, and summaries; process deposition transcripts and manage exhibits.
  • Assist with pre-trial preparation: create trial notebooks, organize exhibits and witness lists, and manage exhibit exchanges with opposing counsel.
  • Provide in-trial support, including exhibit tracking, video presentations, coordination with witnesses, and real-time note taking.
  • Assist with post-trial filings, including applications for fees and preparing files for appeal.

Legal Assistant & Administrative Support

  • Draft and prepare correspondence, legal documents, and standard pleadings from written drafts or dictation.
  • Manage attorney calendars, deadlines, and appointments; maintain firm-wide calendaring and reminder systems.
  • Screen calls, greet clients and visitors, and maintain a professional and courteous client-facing presence.
  • Open, organize, and maintain physical and electronic case files, including conflict checks and file closings.
  • Handle incoming and outgoing mail and delivery coordination; track deadlines and ensure timely communication.
  • Enter billable time, assist with pre-bill generation, and help manage attorney billing processes.
  • Support attorneys with scheduling, travel arrangements, and hearing/meeting preparation.
  • Provide backup support for other administrative staff as needed.

Qualifications

  • Minimum of 3 years of experience in litigation support, preferably in a law firm or similar legal environment.
  • Strong knowledge of litigation processes, court rules, and document production standards.
  • Proficient in Microsoft Office Suite and legal software (document management, timekeeping, and e-discovery tools).
  • Excellent legal research, writing, proofreading, and editing skills.
  • Typing speed of at least 70 WPM preferred; must be detail-oriented and highly organized.
  • Ability to handle confidential matters with discretion and professionalism.
  • Strong interpersonal skills to communicate effectively with attorneys, clients, opposing counsel, and court personnel.
  • Ability to prioritize tasks, work independently, and remain calm under pressure.
  • Willingness to work occasional overtime to meet litigation deadlines or assist during trial preparation.
