During our busy season, our team moves quickly to keep up with a high volume of customer calls, repairs, installations and service needs. We’re looking for a dependable, organized professional who can keep communication flowing, schedules organized and our repair team equipped to get the job done.

Job Overview

Caribbean Pools is seeking an organized, dependable and customer-focused Seasonal Service Coordinator to support our team during our busy season. This is an in-office, seasonal position based at our Naples, FL location.

In this role, you'll serve as a key point of contact for customers and operations, helping coordinate repairs and installations, manage scheduling, track warranties and parts, and ensure technicians have the information and equipment they need.

This is a high-volume, fast-paced position, so the ideal candidate is comfortable handling frequent phone calls and emails, managing multiple priorities at once, and staying organized when schedules and customer needs change throughout the day.

Responsibilities
  • Answer a high volume of incoming customer phone calls and emails in a professional and timely manner

  • Assist customers with scheduling pool repairs, equipment installations and related service appointments

  • Coordinate repair and installation schedules with technicians and customers

  • Collect and accurately document customer information, including contact details, billing information, service needs and equipment concerns

  • Provide customers with updates regarding scheduled repairs, installations, parts and service requests

  • Track warranty information and warranty-related repairs to ensure accurate documentation and timely follow-up

  • Order parts and equipment needed for scheduled repairs and installations

  • Check the status and availability of ordered parts and communicate updates to the appropriate team members

  • Assist with receiving, stocking and organizing pool repair parts, equipment and supplies

  • Maintain an organized inventory and work area so technicians can quickly locate necessary equipment and parts

  • Communicate with technicians regarding schedules, customer needs, parts availability and changes to service appointments

  • Maintain accurate customer, scheduling, warranty and repair information within company systems

  • Follow up on outstanding repairs, parts orders and customer requests as needed

  • Prioritize urgent service needs while managing a high volume of requests during peak season

  • Coordinate with other team members to help ensure repairs and installations are completed efficiently

  • Perform related duties as assigned

Essential Skills and Experience
  • 1-3 years of experience in dispatching, customer service, scheduling, administrative support or a similar role preferred

  • Experience in the pool industry, home services or route based environment is a plus

  • Excellent verbal and written communication skills

  • Strong organizational and multitasking abilities

  • Comfortable handling a high volume of phone calls, emails and service requests

  • Ability to prioritize tasks and adapt quickly when schedules or customer needs change

  • Strong attention to detail when collecting customer, billing, warranty and service information

  • Comfortable working with parts, equipment and inventory

  • Basic computer proficiency and ability to learn scheduling and customer management systems

  • Customer-focused mindset with strong problem-solving skills

  • Dependable, professional and able to work effectively in a fast-paced, in-office environment
