About the Job:
The Executive Assistant, Operations supports Summit's mission of serving churches through world-class business execution by providing high-level administrative and coordination support to the Vice President of Operations and Director of Sales. This role transforms executive, sales, and operational priorities into clear action through exceptional organization, communication, and consistent follow-through.
Approximately 75% of the role supports the Vice President of Operations through executive calendar and communication management, leadership meeting coordination, travel and expense administration, executive follow-through, and special project coordination. The remaining 25% supports the Director of Sales by coordinating customer visits, sales events, CRM maintenance, meeting logistics, and sales follow-up activities.
The ideal candidate is proactive, highly organized, and confident working alongside senior leaders. This role requires someone who can independently manage competing priorities, anticipate needs, maintain exceptional attention to detail, and ensure important commitments continue moving forward with minimal supervision.

Responsibilities:
- Support the Vice President of Operations by organizing, tracking, and following through on executive priorities, goals, decisions, and commitments.
- Manage executive calendar coordination, communications, inbox organization, meeting preparation, travel arrangements, expense administration, and related executive workflows.
- Coordinate leadership meetings, one-on-ones, planning sessions, performance review meetings, meeting documentation, action-item tracking, and ongoing follow-up.
- Prepare executive correspondence, presentations, meeting agendas, summaries, reports, and other materials to support leadership decision-making.
- Coordinate customer visits, sales events, strategic account activities, CRM maintenance, and administrative support for the Director of Sales.
- Conduct initial qualification calls with prospective clients, document information within the CRM, and route opportunities to the appropriate sales team members.
- Coordinate assigned special projects by organizing timelines, documentation, communication, ownership, and progress while identifying risks and ensuring timely completion.
- Maintain confidentiality while providing exceptional administrative support and improving executive efficiency through proactive organization and follow-through.

- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong proficiency with calendar management, email, document preparation, spreadsheets, and business reporting.
- Experience with Google Workspace, Slack, ClickUp, Ramp, or similar business productivity platforms is preferred.
Job Requirements:
- High School Diploma or equivalent required.
- Associate's Degree or higher in Business Administration, Office Management, Operations, or related field preferred.
- 5+ years of experience in administrative support, executive support, or operations coordination.
- Experience supporting senior leadership preferred.
- Experience in operations, construction, technology, or project-based industries preferred.
- Proficiency with business productivity tools such as Google Workspace, Slack, and related systems.
Job Type: Full-Time (approximately 40 hours per week)
Hourly Rate: $32-$38/hour
