ANNOUNCEMENT OF POSITION VACANCY

SUMMARY: The Payroll Specialist performs duties as it relates to payroll policies, processes, procedures, reports and programs applicable to all employees. Main areas of focus processing payroll and providing internal support. This role maintains a high level of accuracy, confidentiality, and customer service while ensuring all payroll processes are timely, compliant, and aligned with company policies and regulatory requirements

SOME OF THE THINGS THAT YOU WILL GET TO DO (this is only a small sampling of work variety):

  • Process bi-weekly payroll for students, staff, and faculty; review for accuracy and submit in accordance with established deadlines.
  • Perform data entry in UKG Kronos, including rate changes, manual checks, lost checks, retroactive pay adjustments, calculate and communicate detailed information to affected employees
  • Maintain accurate employee records in compliance with established retention guidelines
  • Notifies Manager to resolve discrepancies in payroll data or hours worked each pay cycle when abnormalities occur
  • Prepares, reviews and maintains bi-weekly CalPERS payments, coordinates with Human resources on any issues
  • Review and process employee wage garnishments
  • Creates payments for payroll related obligations and prepares and submits related journal entries
  • Distributes parking passes and prepares monthly billing report and payment requests
  • Maintains the processes escheatment of stale or unclaimed payroll checks
  • Provides payroll reports, statistics and earnings data to budget analysts and management as required/requested
  • Provide Payroll System/Payroll Processing training to management and employees
  • Delivers orientation sessions for new employees, ensuring clear communication of workplaces expectation, policies and payroll procedures
  • Assist with creation, coordination and continuous improvement of the payroll training, processes and procedures.
  • Maintain and update departmental Standard Operating Procedures.
  • Provide responsive and professional customer service within established guidelines.
  • Maintain spreadsheets and filing systems to support departmental operations.
  • Must be able to adhere to a regular work schedule, which may include evening, weekend, and/or Holidays.
  • Support special projects and other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Associate's degree or equivalent experience
  • 3+ year's current Payroll experience
  • Strong PC skills including proficiency in Excel
  • Strong interpersonal communication skills, good customer service skills
  • High degree of professionalism, work ethics and team player
  • Excellent problem solving and organizational skills, detail oriented
  • Ability to maintain strict confidentiality with integrity
  • Ability to work under pressure and adhere to strict deadlines

PREFERRED QUALIFICATIONS:

  • Kronos Work Force Ready experience/UKG experience
  • One Solution or related accounting platform or accounting experience a plus

The Foundation offers positions in various fields; whether it is in the area of technology, science, retail, culinary arts, hospitality management, leadership or research grants, these student employees participate in Cal Poly Pomona's learn-by-doing philosophy and acquire practical skills in their designated field of study.

The Foundation also contributes operating support to nearly 1,100 Foundation and scholarship programs every year, including Bronco Athletics. The Foundation contributes over $1 million annually to Cal Poly Pomona.
