Job description

Position Summary

The Accounting & Business Support Assistant supports the organization's financial operations, administrative functions, office operations, and internal communications efforts. This position plays a key role in ensuring accurate accounting processes, maintaining organized records, and providing administrative support across multiple departments. The role requires strong attention to detail, discretion with confidential information, and the ability to manage competing priorities while supporting day-to-day business operations.

Success in this role requires someone who is organized, dependable, collaborative, and comfortable assisting in a variety of accounting, administrative, operational, and communication-related tasks.


Essential Duties & Responsibilities

Accounting Operations

  • Reconcile Time of Service batches, credit card transactions, and vendor accounts
  • Review vendor statements for outstanding invoices and discrepancies
  • Accurately code, process, and verify vendor invoices
  • Obtain approvals for invoices and prepare vendor payments
  • Process check requests and employee expense reports
  • Post accounts payable entries and prepare journal entries as directed
  • Monitor vendor payment schedules and discount opportunities
  • Reconcile vendor accounts monthly and resolve discrepancies
  • Collect, reconcile, and process daily departmental cash deposits
  • Ensures compliance with internal policies and financial controls

Business Support Functions

  • Scan, file, and maintain electronic and physical financial records
  • Maintain organization of financial documentation and reporting systems
  • Assist with ordering office supplies and managing inventory levels
  • Coordinate vendor services such as printer and toner management
  • Support administrative leadership and HR with projects and requests
  • Assist with miscellaneous tasks and departmental needs as assigned
  • Assist with maintaining the company website and social media platforms
  • Support employee engagement activities and company events
  • Assist with community outreach, sponsorships, and promotional initiatives
  • Support internal communications and organizational announcements


Qualifications

  • High School Diploma required
  • 3+ years of accounting, bookkeeping, accounts payable, or related experience preferred
  • Experience with QuickBooks or similar accounting software
  • Proficiency in Microsoft Office (Excel, Word) and electronic document management systems
  • Strong attention to detail, accuracy, and organizational skills
  • Excellent communication, problem-solving, and time-management abilities
  • Ability to exercise discretion and maintain confidentiality
  • Experience assisting with social media engagement, content creation, or community outreach activities preferred
  • Self-motivated and accountable, with the ability to manage responsibilities, solve problems, and collaborate effectively across multiple departments
  • Comfortable adapting to changing priorities and supporting a variety of accounting, administrative, operational, and communication-related initiatives
